Working as part of a specialty team, the post holder will offer support to ensure patients are afforded a professional and caring service within the necessary clinical timescales. The post holder will be responsible for agreeing booked dates with patients for elements of their care throughout the pathway. You will be responsible for admitting and discharging patients, outpatient reception duties if the reception area is unmanned, and ensuring pre and post admission information is sent to the relevant person(s). It is vital that patients are appropriately tracked through the process to ensure they receive care at appropriate times, therefore, there will be an element of validation and auditing required to ensure that patients are treated in a timely and efficient manner. The nature of this post requires the post holder to have a high level of tact and diplomacy as well as strict adherence to the rules of confidentiality. This requires the provision of a robust service; you will therefore be expected to work on a rota basis ensuring the service is appropriately covered during office hours.
Main duties of the job
1. Patient's calls are answered in line with the Endoscopy Admin's standard operating procedures (i.e., time to answer, information shared, and patient-focused service).
2. Patients are treated courteously, with empathy and respect.
3. Patients' referrals are processed in line with the Endoscopy Admin Standard Operating Procedures and agreed standards.
4. Proactive support of the admin and clinical vetting of referrals in order of receipt and clinical priority.
5. Daily checking of the PTL and ability to drill down into information as required.
6. Ensuring all patients' appointments are booked within national and local agreed targets and escalating any issues with breaches immediately to line manager.
7. Ensuring knowledge is kept up to date around national and local booking targets and JAG recommendations and Standards in relation to booking.
8. Proactively supporting a patient-focused booking service in line with trust expectations and JAG Standards.
9. Ensuring patients are assigned to the right list first time and the correct points allocated to the procedures.
10. Ensuring up-to-date knowledge of booking numbers and procedures in relation to endoscopy competencies.

Person Specification
Education and Qualifications
* RSA II Word processing/Typing or equivalent experience
* Good standard of education including literacy and numeracy skills up to GCSE level
* NVQ Business Admin II
* NVQ Customer Care II
Occupational Experience
* Minimum of 1 year experience in an administrative office environment
* Experience of working with the general public
* Experience within the NHS
* Experience of scheduling/coordinating activities and/or resources
* Time management skills or experience working in a busy/demanding environment
