Job Summary:
We are looking for an organized and detail-oriented Archivist to manage both paper and electronic records within the pharmaceutical and medical devices sector. This role is essential in ensuring the accurate cataloguing, retention, and retrieval of documents, while also providing archiving support to colleagues across the business. You will play a key part in maintaining efficient archiving systems and ensuring compliance with industry regulations.
Key Responsibilities:
1. Catalogue and manage both physical and digital documents and records, ensuring they are accurately stored internally and externally.
2. Coordinate the archiving of documents with external storage providers and arrange for retrievals as needed.
3. Prepare, implement, and maintain systems and procedures for the proper retention and destruction of archived records in compliance with regulatory requirements.
4. Evaluate fragile documents that require careful handling, repair, or conservation, ensuring their long-term preservation.
5. Lead and execute digitization initiatives for paper archives to improve accessibility and longevity.
6. Maintain an organized, user-friendly computer-aided search system to ensure quick and easy access to archived materials.
7. Provide archiving support to project teams and various business functions, helping them meet documentation needs.
8. Identify opportunities to enhance archiving processes, systems, and procedures and contribute to implementing improvements.
9. Stay informed on document and record control regulations, retention standards, and industry-specific requirements for pharmaceuticals and medical devices.
10. Undertake additional responsibilities that are within the scope of the role, as required.
Requirements:
1. Proven experience in archiving, records management, or document control, preferably within the pharmaceutical or medical devices sector.
2. Familiarity with relevant regulatory standards for document retention and record management.
3. Excellent organizational skills and attention to detail.
4. Proficiency in digital archiving tools and computer-aided search systems.
5. Ability to handle fragile documents with care and manage digitization projects.
6. Strong communication and teamwork skills.
