Applications are invited from suitably qualified and experienced candidates to provide clerical support on our Oncology Day Unit. The post will be based at North Tyneside General Hospital but the post holder will be expected to work across other sites within the Trust as and when required.
The successful candidates will provide a reception service, acting as an initial first point of contact for patients, visitors, and other healthcare professionals on the telephone and face to face. They will coordinate and assist in managing the clinical diary for patients receiving SACT treatment and deal with chemotherapy referrals.
The post holders should have excellent communication, organisational, and interpersonal skills.

Main duties of the job
1. Support the Management Coordinator in providing high-quality administrative/secretarial support to the Oncology Day Unit to enable efficient running.
2. Access IT systems, including Chemocare, PAS, and other relevant systems (full training and support will be provided).
3. Provide an efficient administration and clerical service to unit staff, visitors, and patients.
4. Act as the first point of contact on the telephone or face to face for patients, visitors, and other healthcare professionals.
5. Facilitate good communication with other wards and departments involved in patient care.
6. Support the ODU Manager/Sister and ensure smooth daily running of the clinical area.
7. Assist in setting up and maintaining the patient database.
8. Assist with managing the clinical diary on Chemocare, handle incoming chemotherapy referrals, and schedule patients' treatment as advised by the clinical team.
9. Travel to other Oncology Day Units across our Trust to provide cover when necessary.

Job responsibilities
* Diary Management for patients receiving chemotherapy, processing new referrals, and scheduling appointments.
* Collating, disseminating, and distributing emails relating to patient care in a timely manner while maintaining confidentiality.
* Collate information and share it where appropriate.
* Maintain spreadsheets and patient databases.
* Keep up-to-date waiting lists.
* Respond to all ad-hoc requests when required.
* Provide administrative support to the Oncology Day Units.
* Main point of contact for patients and third parties (e.g., other clinicians, GP, police, social care, legal) to resolve queries and respond to requests for information.
Person Specification
Qualifications
* Relevant Level 3 qualification or an equivalent level of knowledge and/or experience.
Experience and Knowledge
* Knowledge and experience of Microsoft Office, including Excel, PowerPoint, Word, and Outlook.
* Previous experience of working in a busy office environment.
* Experience of working in the NHS or other complex organisations.
* Experience in using PAS.
Additional
* Driving License.
