An exciting opportunity has arisen within our two busy and friendly GP practices in the Havant and Bedhampton area for an experienced, flexible and enthusiastic Medical Secretary to support our existing Practice team.
It is a permanent position, salary dependent on experience, up to 30 hours per week.
You will be responsible for undertaking a wide range of secretarial and administrative duties and the provision of administrative support to the Practice teams.
Duties can include, but are not limited to, the processing of information, liaising with multidisciplinary team members and external agencies such as secondary care and community service providers in accordance with current policies. Processing patient referrals using the electronic referral service (ERS).
Main duties of the job
The following are the core responsibilities of the Medical Secretary/Administrator:
1. Write accurate letters and reports using audio and copy typing for all members of the medical team.
2. Liaise with external agencies such as hospitals and community services, and ensure referrals are processed efficiently.
3. Maintain an accurate referrals database.
4. Input data into the patients healthcare records as necessary.
5. Process referrals using the electronic referral system (ERS).
6. Process advice and guidance requests.
7. Answer incoming phone calls. Transfer calls or deal with the callers requests appropriately.
8. Carry out system searches and audits.
9. Maintain a clean, tidy, effective working area at all times.
Expected hours: up to 30 per week
Education: GCSE or equivalent (preferred)
Experience: Medical Receptionist: 1 year (preferred)

We are a large Practice over two sites with 17,000 patients. We have a diverse clinical team of salaried GPs, ANP Prescribers, Practice Nurses and HCAs. We also have a Physiotherapist, Health and Wellbeing Coaches, Care Coordinator, Mental Health Practitioner and Social Prescribers. We are part of the Havant and Waterlooville Primary care Network (PCN).
Job responsibilities
1. To carry out any administrative tasks required by the Doctors/Practice Manager.
2. To assist our patients with any information they may require.
3. To ensure that our patients receive a good service when referral to secondary care is required, using the ERS system if possible.
4. Reception cover when required.
5. To instinctively make things happen despite the restrictions placed upon us.
6. To ensure that all referral letters are typed and forwarded to the relevant hospital within a reasonable length of time i.e. 5 days for routine and 1 day for urgent.
7. Dealing with Patient & Doctor queries.
8. Oversee the opening of incoming mail and distribute to relevant parties.
9. Entering data onto the computer for referrals.
10. Assisting to set up systems when new services are introduced i.e. fast track cancer referrals, choose & book, workflow & batch scanning.
11. Observe strict confidentiality at all times.
12. Compliance with any reasonable request from the Doctors/Practice Manager.
13. Prior Approval/IFR administration.
14. Typing any requests made by the Doctors/Practice Manager/Practice Nurses/Receptionist/attached staff.
15. To liaise with all secondary care agencies as required.
16. To maintain an accurate address book/information file.
17. To chase up appointments etc as necessary.
Person Specification
Qualifications
* Educated to GCSE level.
Experience
* Experience working in an NHS organisation in a similar role.
* Understanding of medical terminology.
* EMIS experience preferred; however, training will be given.
Skills
* Effective communication (written and oral).
