Job Overview:
The Executive PA will play a critical role in supporting our client’s CEO. This individual will be responsible for handling a wide range of administrative and executive support-related tasks. The successful candidate will be proactive, resourceful, and efficient, with a high level of professionalism and confidentiality. They will also have exceptional communication skills and the ability to manage and prioritise competing priorities.
Key Responsibilities:
* Executive Support: Provide full administrative support to the CEO, including managing their calendar, scheduling meetings, and coordinating travel arrangements.
* Meeting Coordination: Organise and prepare for executive meetings, including preparing agendas, taking minutes, and ensuring follow-up on action points.
* Communication: Act as the primary point of contact between the CEO and internal/external stakeholders, managing and prioritising communications on behalf of the CEO.
* Document Preparation: Draft, edit, and review correspondence, reports, presentations, and other documents as requested by the CEO.
* Project Management: Assist in the planning and execution of special projects, tracking timelines, and ensuring deadlines are met.
* Event Management: Organise company events, conferences, and other professional engagements, including logistics and budgeting.
* Confidentiality: Handle sensitive information with discretion, maintaining the highest level of confidentiality.
* Travel Coordination: Plan and manage complex travel itineraries, accommodations, and logistics for both domestic and international travel.
* Stakeholder Management: Build and maintain relationships with key clients, partners, and stakeholders on behalf of the CEO.
* Ad-hoc Tasks: Support the CEO with personal and business-related tasks as needed to ensure efficient day-to-day operations.
Key Skills and Qualifications:
* Proven experience as an Executive PA, supporting senior-level executives, preferably in a fast-paced environment.
* Excellent organisational skills with the ability to multitask and prioritise workload effectively.
* Strong communication skills, both written and verbal.
* High level of professionalism, discretion, and confidentiality.
* Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and other productivity tools (e.g., project management software).
* Strong attention to detail and ability to anticipate needs.
* Problem-solving skills and a proactive approach to work.
* Ability to work independently and make sound decisions.
* Bachelor’s degree or relevant qualification preferred.
* Experience in the media, publishing, or editorial industry is an advantage but not essential.
