Job Summary:
As a Group HR Operations Coordinator, you will be part of the Group HR Operations function based in the UK and Bulgaria. This team is essential in managing and streamlining day-to-day functions, driving efficient operations and processes within the Group HR department.
You will report to the Group HR Operations Lead and be responsible for providing global HR support across the employee lifecycle, including HR Systems (Workday, HR Specialist Systems). You will serve as the first point of contact for employee queries and HR Business Partnering Teams regarding these systems.
Collaborating with the HR Technology team, you will ensure that all central business processes are consolidated, efficient, standardized where possible, and continuously improved.
Key Responsibilities:
* Serve as the first point of contact for employee queries and HR Business Partnering Teams.
* Manage the internal Group HR Operations ticketing system.
* Assign requests to appropriate HR Operations, Technology, or Payroll team members based on complexity.
* Handle all Level 1 requests.
* Ensure all HR business processes in Workday are completed timely and accurately, avoiding delays that impact payroll and employee lifecycle transactions.
* Work with the HR Technology Team to provide updated guides, job aids, and process flows for employees and HR teams.
* Regularly audit data for accuracy.
* Support administrative tasks such as preparing letters, references, and probation reviews, aiming to automate these within Workday.
* Maintain and organize standardized employee files and documents within Workday.
* Ensure employee data compliance with GDPR.
* Manage data retention policies across all HR systems.
* Support UK immigration processes, including visa renewals and tracking in Workday.
* Update immigration records in the UK SMS portal as needed.
* Coordinate with HR Technology and Payroll teams for cyclical Workday activities.
* Assist with system testing, enhancements, and new functionalities.
* Support filing and documentation needs as required.
