This position is a varied, customer-facing role within the Estate Management Department, focused on delivering exceptional service to a diverse range of stakeholders, including staff, students, suppliers, and external contacts.
The role entails responding promptly and effectively to customer queries, logging work requests with precision, and processing finance requisitions accurately. Acting as the primary point of contact for the Estates Department, the Estates Helpdesk Operative will embody professionalism and ensure a welcoming and efficient interface for all interactions.
With a commitment to high standards, the individual will play a key role in maintaining the department’s reputation for excellence and future development in service delivery, including the evolution of our new Service Centre.
You will have proven experience in a fast-paced administrative or customer-facing service role, showcasing the ability to thrive in dynamic environments while maintaining a focus on quality.
You will demonstrate expertise in handling information with methodical precision and meticulous attention to detail, ensuring accuracy in all tasks. The role requires you to be a proactive individual, capable of using your initiative to independently manage and prioritize multiple activities and projects, consistently delivering results within set deadlines. A strong commitment to providing a high standard of customer service is essential, underpinned by experience in creating positive and professional interactions with a diverse range of stakeholders.
Responsibilities
* Provide support to the Service Teams across the Estates function, delivering a high-quality service to all our internal and external customers.
* Utilise a range of IT platforms (including Microsoft Applications, Computer Aided Facilities Management systems (CAFM), Oracle Finance) in order to manage and progress enquiries logged with the Estates Helpdesk.
* Process requisitions for goods and services for designated areas by using the University’s web-based Finance systems including issuing purchase orders and using the University's credit card systems.
* Management of petty cash (to be responsible for the cash tin, including collection, reconciliation and paying in).
* Actively promote and display excellent customer service, acting as a key contact point to liaise with other staff both internally and externally.
* Maintain effective relationships with key stakeholders. Provide advice and assistance including the co-ordination of responses to enquiries and take ownership of issues to ensure our service is seen as customer focused and responsive.
* Support other key activities within the Department and the University as required (e.g. University Open Days and other key events) and carry out any other duties commensurate with the level of responsibility of the post.
Minimum Requirements
* GCSE Grade 4/C or above in Maths and English (or equivalent qualification) and/or relevant experience.
Experience
* Demonstrable experience of working in a busy and administrative/front facing service role.
* Experience of working within deadlines and following procedures.
* Experience of working with information requiring methodical and meticulous attention to detail.
* Working collaboratively as part of a team.
Skills, Knowledge & Abilities
* Commitment and experience of providing a high standard of customer service.
* Good communicator (both written and verbal).
* Able to use own initiative to carry out tasks, and be able to work in a fast-paced environment – managing multiple activities/projects to successfully deliver within set deadlines.
