We have a great opportunity for an Administrator to complete a 6 months contract working for a Global Retailer based in Russell Square within their legal department.
Duties will include:
* Manage signing of legal documents: prepare Signature Approval Forms, arrange for signatories and witnesses to sign documents, ensure execution is completed correctly and in a timely manner.
* Obtain, issue & check billing information & requirements: ensure suppliers are provided with the correct billing information at time of instruction, obtain POs and other billing requirements from other ABF businesses as required.
* Verify and code invoices on Medius & BusyLamp: follow process for tracking, verifying, coding and further actions on invoices and other payments made through Medius.
* Manage soft and hard copy documents: track deeds location in Sharepoint, conduct annual deed audit, confirm deeds location to the businesses, maintain folders in iManage, archive and scan documents that need to be retained.
* Manage Funds Transfer memo payments: prepare Funds Transfer memos, ensure correct information & approval is obtained. Submit to Accounts Payable via Medius for payment
* Coordinate Anti-Bribery & Corruption supplier process: complete new supplier ABC forms, manage ABC renewal process for existing suppliers, issue contract clauses to suppliers and ensure they return signed copies.
* Team scheduling: arrange meetings and calls, manage Head of Group Property’s diary, ensure recurring meetings are appropriately scheduled, arrange travel bookings, send weekly team diary.
* Team administration: handle the post, coordinate and circulate agendas for meetings, take notes and actions during meetings and circulate afterwards.
This will suit someone with some basic admin experience who is a self starter and can complete task in a comprehensive manner.
Good knowledge of MS Office skills
