Contract Type: 6-Month Contract (with possible extension or perm conversion)
Schedule: 4 days onsite, 1 day remote
Pay Rate: £33.17 per hour PAYE + 33 days holiday pay on pro rata basis
Role Summary
My client is the largest investment and asset management firm in the world and is looking for an Executive Assistant to support senior executives and the broader Executive team.
The role encompasses managing calendars, coordinating events, supporting office operations, and handling key projects. The ideal candidate will be highly organised, resourceful, and have the ability to anticipate needs while consistently delivering high-quality work in a fast-paced environment.
Success in this role requires a collaborative mindset, excellent attention to detail, and the ability to stay two steps ahead by independently completing tasks to a high standard. Strong knowledge of core administrative business processes is essential.
Key Responsibilities
* Diary and Calendar Management: Full diary management for senior executives, scheduling internal and external meetings across multiple time zones and locations, including video conferences.
* Travel Coordination: Arrange business travel for the team and manage expenses using the Concur system in line with company policies.
* Event Planning: Plan and coordinate internal and external events (e.g., strategy sessions, conferences, social events) ensuring all logistics are managed for seamless execution.
* Visitor Coordination: Serve as the main point of contact for external visitors and liaise with operational teams to ensure compliance with security protocols.
* Administrative Support: Prepare materials, documentation, and presentations as required; provide ad-hoc project support for executive team initiatives.
* Platform Support: Assist with Executive team platform initiatives and projects.
* Meeting Tools Utilisation: Manage and use tools such as CorpAxe and CBC Meetings Calendar effectively.
* Backup Support: Provide coverage for the Global Head of FE’s assistant during periods of absence.
Required Experience and Skills
* Minimum of 8 years of corporate administrative experience, within financial services is mandatory.
* Proven ability to manage multiple tasks with a high degree of accuracy, meeting deadlines in a fast-paced environment.
