We are looking for a proactive, detail-oriented Administrator to join our team at Vivo. If you're keen to play a crucial role in supporting the Service Delivery Areas (SDA19 & SDA59) and help us deliver exceptional service across key Ministry of Defence (MoD) sites, this is your chance to make a real impact. About the role: As an Administrator working within a team of 3, you will be a key player in supporting a range of critical operational activities, including managing and recording customer-led meetings, producing reports, and helping to streamline communication across multiple teams and stakeholders. You will be involved in monthly meetings such as the Site Infrastructure Management Meetings (SIMM) and Total Facility Meetings (TFM) across various MoD sites; MoD Lyneham, Azimghur Barracks, Services Centre Cotswold, Rudloe South, DNBC Winterbourne Gunner, AIRC Netheravon, Imber Lines, AOSB Westbury, Trenchard Lines and Tedworth House. Your day-to-day tasks will involve organizing and facilitating meetings, from booking facilities and ensuring site access to recording decisions and action logs. You will also circulate core MPR reports, produce data, and assist with stakeholder communication to effectively manage the contract. Additionally, you will proactively gather and act on customer feedback to ensure continuous improvement in our service delivery. Your role will also include providing ongoing administrative support to the site operations team, ensuring the business remains organized and focused on delivering results. What you’ll need; We are looking for someone with proven administration experience, ideally in a fast-paced, customer-driven environment. The ideal candidate will have the ability to take down minutes with accuracy and speed, prioritise tasks, and meet deadlines efficiently. Strong teamwork abilities and excellent communication skills to engage with stakeholders and colleagues are essential. You should also have IT proficiency, particularly in Excel and Word. A valid driving license and the ability to travel between sites as needed is required. You will have excellent communication and interpersonal skills, with the ability to engage with a wide range of people. A passion for continuous improvement and the ability to influence others to meet high standards are also key to this role. Previous experience in a construction, property maintenance, or MoD environment is desirable You must be able to pass BPSS Clearance for to be eligible for this role. Ready to make a difference?
