Your Role:
As our Sales and Contract Administrator, you’ll be an essential member of our team, supporting each stage of the project process — from initial enquiries to post-project maintenance and after-sales care. This role offers a diverse mix of responsibilities, including administration, customer communication, and project coordination, making you an integral part of our operations.
About The Role
Key Responsibilities:
Sales Support
* Manage incoming enquiries, liaising with the sales team for seamless communication.
* Supervise MCS system sales data, ensuring accurate record-keeping and reporting.
* Generate quotations and organise project folders, setting a strong foundation for each new project.
Preconstruction Coordination
* Assist the Pre-construction Team with document preparation, binder creation, and project setup meetings.
* Ensure stakeholder communication is clear and project goals are met.
* Handle essential tasks like Capex paperwork, contract setup, and cost tracking.
Construction Phase Assistance
* Collaborate with the Project Manager and sales team to maximise project value.
* Oversee contract details, organise site files, and maintain KPIs.
* Coordinate site needs such as welfare fencing, haulage, and other subcontractor services.
Project Completion and After-Sales Support
* Finalise contracts, validate subcontractor invoices, and archive project data for future reference.
* Manage off-hire arrangements, produce O&M manuals, and maintain customer support after project delivery.
* Address callouts and analyse maintenance trends to uphold our reputation for quality.
Skills and Expertise:
* Project Coordination: Able to manage timelines, milestones, and communication with teams and clients.
* Sales Support: Experience in handling enquiries, issuing quotes, and maintaining sales records.
* Excellent Communication: Strong written and verbal skills for clear interactions with clients and team members.
* Organisational Skills: Capable of managing multiple project files and keeping detailed records.
* Attention to Detail: Accuracy in data entry, cost tracking, and contract handling.
* Tech Savvy: Proficient in Microsoft Office, especially Excel, with experience in project management software (MCS) a plus.
* Customer Service: Committed to high-quality support, especially in the after-sales stage.
* Team Player: Works well across departments, supporting sales, project management, and preconstruction teams.
* Health & Safety Knowledge: Awareness of site safety standards; knowledge of ISO 9001 is an advantage.
* Adaptable: Flexible and willing to take on additional duties as needed.

* Experience in Project co-ordnation/Contract administration
* Experience in sales support, issuing quotes and maintaining sales records
* Customer Service Experience
* Proficient in Microsoft Office, especially Excel, with experience in project management software (MCS) a plus.
* Excellent Communication - Strong written and verbal skills for clear interactions with clients and team members.
* Knowledge of Health & Safety Standards: Understanding of site safety protocols and requirements, with knowledge of ISO 9001 processes being a plus.
