Service Evaluation and Analysis: The post holder is required to coordinate audits of medical devices throughout the Trust and be able to plan projects across the Trust. To be the main point of contact for queries and communication between Oxleas and external providers. Work closely with Teams and the Servicing Company to ensure that all equipment supplied has been labelled, maintained and that a functional test is carried out prior to use. Ensure that all equipment is recorded on the Oxleas asset register.
Ensure that regular audits of medical devices are undertaken and asset management systems are updated to reflect the current status. Support Teams to ensure that equipment is being cleaned and decontaminated in accordance with the Trust Infection Control Policy. Be part of any Quality Improvement (QI) initiatives as needed to improve the quality of work being completed in the Trust for Medical Devices. To be able to talk to Service Users if needed about their views and to explain the role and need for Medical Devices.
Managerial: To be the main point of contact for the Medicines and Healthcare Regulatory Authority (MHRA) to send alerts and updates and to action these alerts and updates in the Trust. To record all communications with the MHRA on the appropriate Government website. To complete Yellow Cards to be returned to the MHRA to report appropriate incidents. To keep a central stock of key items, such as Blood Glucose Monitors, and ensure teams have adequate stock to maintain a safe working level.
To link in with the Patient Safety Specialists in the Trust to share learning and knowledge. Participate in the education and training of staff, for the purpose of improving the effectiveness and efficiency of medical devices use in the Trust.
Administrative Policy / Service Development: To comply with both the Trust and departmental policies and procedures. Work with Procurement and the Patient Safety Lead to update templates on Cardea to ensure ease of ordering and that equipment is in line with trust approved stock.
To monitor and disseminate Central Alert Systems (CAS) alerts as they are received and ensure that Teams are aware of the alert. To collect the information and report back to the MHRA via the CAS alert system. To be a member of the Medical Devices Panel to decide on future Trust stock items. To be able to analyse findings from audits and be able to talk to staff about these in a sensitive manner to instigate change behaviours.
General: Complete clinical incident reports on any events involving medical devices. To monitor and audit trends relating to medical devices and work with Wards /Teams to reduce risk and maintain patient safety. Develop and maintain effective working relationships with staff in all clinical departments to ascertain their equipment needs. Be able to motivate and inform staff of the importance of medical devices and help them to instigate change.
The post holder will be the main contact for all contractors. Work with all appropriate Trust policies to help prevent the spread of infection. Filter and prioritise correspondence received by the Patient Safety Team and act as needed. Use own planning and organisational skills to provide an effective response to any queries or questions relating to medical devices and facilitating rapid repairs and replacements as needed.
Provide support and instruction to other colleagues, both within the Patient Safety Team and across the Trust, in relation to Medical Devices. Liaise with and organise meetings with Company Representatives to look at new devices and equipment. Arrange and participate in meetings with Wards / Teams as needed to help support them around Medical Devices / Patient Safety. Liaise with the Procurement Team and Servicing Contractor to ensure timely ordering and updating of medical devices.
Have good keyboard skills and a working knowledge of MS Excel. There will be a combination of sitting, walking, standing and driving involved in this role.
Working Conditions: The post holder will be required to manage their own workload to meet deadlines and supply information that may be requested at short notice. To solve problems, and to respond to sudden unexpected demands appropriately, ensuring guidelines are adhered to within the context of the role.
The post holder may regularly be required to concentrate for sustained periods e.g. when compiling reports. To be able to move freely around the Trust using their own vehicle. To be noted: This is not an exhaustive list of duties and responsibilities, and the postholder may be required to undertake other duties which fall within the grade of the job, in discussion with the manager.
