The role
This role will provide executive assistant support to multiple members of the Azets Executive Team (‘C-Suite’). The role requires extensive coordination, planning, and administrative skills to support the C-Suite team in executing strategic goals and daily tasks.
The right person will be someone who is proactive, forward thinking, used to working with a wide stakeholder base (external & internal), has the ability to flex their style and approach dependent on stakeholder need. Someone who can adopt the motto of “making people’s lives easier”, who will enable the C-Suite team to maximise their working time so that they deliver their responsibilities to the best of their ability.
Key accountabilities
1. Full diary management, coordinating and managing complex calendars for multiple C-Suite executives, ensuring efficient scheduling of meetings, appointments, and travel arrangements.
2. Prioritise and adjust schedules as needed to accommodate changing priorities, resolve scheduling conflicts and allow adequate time for travel, preparation and focus work.
3. Plan and arrange travel itineraries, including flight bookings, hotel accommodations, transportation and any other travel needs.
4. Manage incoming communication and inquiries for executives including facilitating communication and project coordination. Serving as a liaison between executives and various departments.
5. Act as a gatekeeper to C-Suite team (e.g. take and share messages, manage expectations of callers, pass queries onto other key stakeholders where appropriate).
6. Use initiative to manage email accounts and to develop and maintain systems to promote efficiency.
7. Prepare C-Suite Team members for meetings as required, ensuring that they are fully equipped with relevant materials.
8. Assist in preparing internal and external documents, including presentations and reports.
9. Support C-Suite in various projects and initiatives, including research, data analysis, and project coordination.
10. Build and maintain strong working relationships with internal and external stakeholders.
11. Maintain confidential and sensitive information with the highest level of discretion.
12. Organise and manage electronic and paper files, ensuring easy retrieval of documents.
13. Develop efficient processes where needed.
14. Attend meetings as required, take minutes, and follow up on action items.
15. Provide cover and support to other Group Executive Assistants.
Skills & experience
1. Proficient in Microsoft Office products & strong experience in PowerPoint would be an advantage. Understanding of corporate governance and experience of working with Boards and Executive Committees.
2. Confidence working with senior team members and an understanding of the pace and challenges this may bring.
3. Exceptional organisation ability, with good communication skills & strong verbal and written communication skills. Ability to work under pressure and meet tight deadlines, adapting to regular changes and demands.
4. Time Management - Balancing a myriad of tasks in a time-sensitive environment without compromising on quality.
