Location: Glasgow. Hybrid (the role is mainly office based at Pacific Quay, with some flexibility).
Job Introduction
BBC Scotland Business and Operations provide creative technical broadcast solutions and services that support programme making and production teams across TV, radio, and digital platforms. Coordinators provide knowledgeable client advice and expertise from the planning stage to delivery, forging strong relationships across our business, including with Unit Managers, Production Managers, Scheduling and Craft teams, and Operations Managers.
Main Responsibilities
You Will Be Responsible For:
* Organising small and large-scale events, projects, and programmes based in BBC Scotland Pacific Quay.
* Identifying, coordinating, and booking facilities and staff, managing logistics to ensure project success.
* Creating detailed quotes for programme makers and dealing with quick turnaround requests to meet production deadlines.
* Taking ownership of projects, reacting to changes throughout the lifecycle, and ensuring delivery to agreed deadlines while managing budgets and expectations.
* Ensuring the efficient forward planning and utilisation of BBC Scotland’s facilities and staff, working intricately with scheduling colleagues.
* Growing strong collaborations with craft teams, managers, and technical leads to maintain and share knowledge of facilities, workflows, and skills.
* Forging strong day-to-day relationships with our internal partners to support programme making and event requirements.
* Seeking to retain and grow new business and relationships across the BBC and the external production community.
* Being commercially aware, providing information to the Business Unit and Finance team, and reconciling income.
* Supporting colleagues by providing leave cover and deputising for Unit Managers when required.
* Building and maintaining relationships with confidence, tact, diplomacy, and discretion.
* Being pro-active in seeking feedback and ideas that contribute to continuous improvement.
* Eagerness to engage in continuous professional development and training.
Are you the right candidate?
The Successful Candidates Must Have:
* Experience of delivering excellent customer service with a positive, solutions-focused approach.
* Experience in a programme making environment with evidence of technical awareness.
* Demonstrated experience of logistics, including coordination of booking facilities and staff.
* Previous experience of scheduling and quoting is highly desirable.
* Strong IT skills, especially in Office package and Excel.
* Evidence of working across projects and teams and being responsible for tracking and delivery.
* Excellent communication and influencing skills. Ability to balance conflicting priorities, using initiative and making informed decisions.
* Proven ability to work effectively as part of a team and collaborate with colleagues and stakeholders.
* Ability to interpret and share complex information, including financial data and technical workflows.
* Proactive, calm under pressure, and resilient. Strong problem-solving skills and the ability to think creatively to overcome challenges.
* Willingness to provide out-of-hours and weekend support if required.
