Job Title Project Support Administrator Job Description Summary Job Description Project Support Administrator Location: Glasgow - Hybrid We have a great opportunity for an experience Administrator to join our Global Occupier Team in Glasgow, to support on one of our major accounts. This role will see you provide administrative support for all areas of the account working with EMEA team comprising of team Integrated Facilities Management and Integrated Portfolio Management, providing compliance and assurance that the account is managed and ran efficiently, and reporting is delivered on time. You will be integral in ensuring all relevant documentation is complete, accurate and available to the team and client when agreed. Key Responsibilities • Work with PMO and other stakeholders ensuring operational requirements are established. • To provide compliance and assurance for the contractual administration of the account (for example inspections are completed on time, in full) • To provide document management by assuring the documentation is loaded in the Teams and client folders, Risk Register, Action Tracker • To develop and map EMEA processes, utilising US process and playbook as a starting point • Assuring that processes are communicated and followed with oversight of the processes and by assuring version control and changes made in the global account • To provide diary management and ensuring the cadence is mapped out for the year and the attendance is as required linked to the TOR (Terms of Reference) – making changes as and when required due to holidays/absence etc • To collate the documentation and finalised processes for the Account SharePoint EMEA and update as and when required • Reporting – Smartsheet or other and filing the reports into the weekly reports and seeking exception commentary from PM or FM for active issues. • To provide administration support to the account Leads when required in meetings and or Ad-hoc requests which have been approved by the PMO, for example: • Change Logs • Daily metrics • Power BI reports Qualifications Essential: • 3 years experience of project administration in a similar deployment environment. • Good IT skills -able to use Microsoft Office products (Excel, Word and PowerPoint) and ability to use in-house / data base computer systems. Desirable: • Experience of working in cross-functional teams, and on solo projects. • Experience of working with third-party agencies and suppliers.
