Rhenus Home Delivery provides a 2-person home delivery service to customers around the UK. We offer quality, professionalism, reliability and excellent service when dealing with our customers.
We are currently looking to recruit a Transport Compliance Administrator (AM Shift 6 am - 2.30 pm, 40 hours per week) based at our depot in Magna Park, Lutterworth (LE17 4XT). Working hours will be 8 AM to 4.30 PM for the initial training period only.
About the role
The successful candidate will ensure compliance with transport regulations, assist with fleet management, and maintain records for both in-house and partner depot operations.
Key duties and responsibilities:
1. Compliance Management:
o Ensure compliance with DVSA regulations for both in-house HGV drivers and partner depots, focusing on driver hours, tachograph use, and Working Time Directive rules.
o Maintain accurate records of vehicle MOT, servicing, and maintenance schedules for the in-house fleet.
o Monitor and document compliance breaches across all delivery operations, including those involving partner depots.
o Ensure fleet compliance with operator’s licence conditions and all relevant legal standards.
2. Driver & Partner Depot Coordination:
o Ensure in-house drivers' qualifications (CPC, HGV, driving licences) are current and legally compliant.
o Conduct regular licence checks and compliance audits on partner depot drivers to ensure alignment with company standards.
o Coordinate driver onboarding and compliance training for in-house and depot personnel as necessary.
3. Documentation & Reporting:
o Maintain up-to-date, accurate records of all compliance-related documentation, including risk assessments, maintenance reports, and safety audits.
o Prepare compliance reports for internal use, external audits, and regulatory bodies (DVSA, insurance companies).
o Assist in audits (internal/external) by providing required documents and liaising with relevant stakeholders, including partner depots.
4. Fleet & Depot Support:
o Coordinate vehicle maintenance, inspections, and repairs for in-house HGVs and track depot partner vehicle compliance.
o Ensure all vehicles, both in-house and from partner depots, are properly taxed, insured, and roadworthy.
o Assist the Transport Manager in resolving any compliance-related issues arising with partner depots.
5. Health & Safety Compliance:
o Ensure that health and safety standards are maintained across all transport operations, including in-house and partner depot deliveries.
o Oversee safety checks for vehicles and ensure compliance with all safety regulations related to loading/unloading heavy or bulky items.
o Support adherence to health and safety policies across the network, ensuring safe delivery processes.
6. Data Management:
o Use software systems to track compliance, including tachograph analysis and vehicle maintenance platforms.
o Maintain a central database of driver and vehicle records for both in-house operations and partner depots, ensuring real-time accuracy.
o Assist with data entry, documentation, and process improvements to enhance compliance efficiency.
7. General Administrative Support:
o Provide administrative support to the Transport Manager and logistics team, assisting with both in-house and partner depot queries.
o Handle queries from drivers, partner depots, and external agencies related to compliance and regulatory matters.
Requirements:
* Previous experience in transport compliance or logistics administration, preferably within furniture or bulky goods delivery operations.
* Knowledge of UK transport regulations (DVSA, tachograph rules, driver's hours) and fleet management.
* Strong organizational skills, attention to detail, and ability to manage multiple tasks.
* Proficiency in MS Office (Word, Excel, Outlook) and compliance software.
* Effective communication skills, able to liaise with drivers, partner depots, and external stakeholders.
* A proactive approach to improving compliance processes and ensuring regulatory adherence.
Desirable Qualifications:
* Certificate of Professional Competence (CPC) in Transport Management (desirable but not essential).
* Experience using tachograph analysis software (e.g., TruTac, Tachomaster).
* Familiarity with fleet management and compliance platforms.
