Main duties of the job
An exciting opportunity has arisen for an enthusiastic and experienced Personal Assistant to support the Divisional Management Team within Division D at University Hospitals Southampton NHS Foundation Trust. The successful candidate will be a motivated individual who can work independently, use initiative and be able to both prioritise and be flexible in order to meet workload demands without direct supervision. They will work closely with the Divisional Director of Operations and Divisional Head of Nursing and Divisional Clinical Director, organising diaries, arranging meetings with internal and external stakeholders, supporting divisional meetings and events, collating spreadsheets, supporting recruitment processes, minute taking, and assisting in the organisation and management of our management offices. A good general education is essential with a high level of literacy and proven proficiency in Microsoft Office Packages. Experience within a similar role, including the coordination of workload demands in a busy hospital environment, would be advantageous.
About Division D
Division D hosts many of the Trust's specialist services: Cardiovascular and Thoracic, Neurosciences and Neurosurgery, Trauma and Orthopaedics, Spinal services, Radiology, and the Major Trauma Centre. The PA role will offer a variety of exposure, leading to an interesting and varied opportunity.

Job responsibilities
The post holder is a key member of the Divisional Management Team (DMT) and is expected to provide high-quality administrative and Personal Assistant support to the DMT at all times, assisting them in ensuring they are able to function effectively and efficiently to help the Division meet agreed quality standards of patient care and performance targets as required.
We are looking for someone who:
* Has strong administrative skills, including a good understanding and ability to use Microsoft Office packages
* Has good communication skills
* Able to work independently and under their own initiative
* Has experience of working in a PA or administrative role previously
Person Specification
Qualifications, Knowledge & Experience
* Good standard of secondary education with English skills demonstrable to GCSE pass level or equivalent standard
* NVQ level 4 in business admin or equivalent level of experience
* Experience working as a Personal Assistant or in business administration
* Working as part of a team and independently
* Experience within an Acute Trust or other healthcare sector
* Previous experience of working in an extremely busy environment
