Context
The University of Wolverhampton ECMS’s role is to enhance productivity predominantly in the UK’s high-value manufacturing sector by working with industry. ECMS Training centres are based in Wolverhampton Springfield Campus, Telford Campus and Tipton the National Foundry Training Centre (the only Foundry Apprenticeship training in the UK). ECMS was conceived to drive economic growth through the upskilling of current and future workforces, at the same time, helping to close the skills gap predominantly in the manufacturing sector and the ECMS can also support other industries and sectors. Currently, ECMS offers a Foundry training programme at the National Foundry Training Centre in addition to offering bite-size courses to a variety of industries and also provide Business Assist support. The role of the ECMS administrator is instrumental in supporting the growth, sustainability, and impact of this training facility. This role involves a multifaceted set of responsibilities and tasks aimed at supporting the ECMS team, monitoring outputs and fostering collaborations.
Purpose
In the role of Administrator, you will play a crucial part in ensuring the smooth operation of the Elite Centre for Manufacturing Skills (ECMS). You will be a key member of the project team, tasked with responsibilities that directly impact stakeholder engagement, operational efficiency, and the delivery of exceptional customer service. Your primary duties will involve providing administrative support across the ECMS, including the coordination of financial processes, event preparation, and record maintenance. This includes tasks such as raising purchase orders, managing shared calendars, and maintaining accurate data to support audits and project claims. You will also oversee the day-to-day operational needs of the Springfield Campus Hub, ensuring facilities are well-maintained and equipped for activities.
Actively engaging in the delivery of training and events, you will contribute to the preparation of materials, real-time support, and post-event documentation. Depending on specific project requirements, you may also participate in marketing activities to promote ECMS initiatives.
Your role is essential to the adherence and enforcement of procedural and operational standards. This includes compliance with data protection regulations, health and safety guidelines, and project protocols.
Collaboration and teamwork are at the heart of the ECMS’s success. Your role requires working closely with colleagues, supervisors, and external stakeholders to achieve project objectives, resolve challenges, and promote a culture of excellence and continuous improvement.
Main duties and responsibilities
1. Provide administrative support to the ECMS Project team with a flexible approach.
2. Ensure premises are well-maintained, with sufficient catering and office supplies to support operational activities.
3. Manage finance administration tasks, including raising purchase orders, processing invoices, maintaining spreadsheets of live purchase orders, and liaising with suppliers for quotations and deliveries.
4. Maintain accurate records, including project output information, trackers, and other relevant data, and assist in data collection and processing.
5. Prepare event packs for training and other activities and support yearly audits with the ECMS funding body.
6. Complete monthly and quarterly claim reports and maintain transaction records for funding body audits.
7. Manage shared diaries using MS Outlook to coordinate ECMS events and room bookings.
8. Issue invoices to clients using hub facilities, including tenants.
9. Maintain IT and equipment inventory for the Springfield Hub, including software, in collaboration with the Project Manager and Business Development Manager.
10. Contribute to project marketing activities, including database development and social media promotion.
11. Organize and take notes of meetings, issue agendas, draft meeting notes, and track follow-up actions.
12. Provide advice and information about the ECMS Project, signpost appropriately, and record relevant project activity.
13. Serve as a Fire Marshal (training provided).
14. Work flexibly, covering for colleagues during busy periods or absences as required, and support operational activities as needed.
15. Ensure compliance with university policies and procedures, promote equality and diversity, and maintain high standards of customer service.
16. Participate actively in team meetings, service reviews, and personal development opportunities.
17. Adhere to health and safety regulations, data protection laws, and best practices for maintaining operational integrity.
