Hours: 8:00 – 6:30 (flexible) Monday to Friday

As a Therapy Patient Coordinator you will ensure the smooth administrative running of the Therapy Department and to assist clinical staff in performing their non-clinical duties
What will the role as our Therapy Patient Coordinator look like?
1. To ensure the smooth administrative running of the Therapy Department and to assist clinical staff in performing their non-clinical duties.
2. To welcome clients and deal courteously, professionally and efficiently with direct, telephone and email enquiries.
3. To ensure adequate stock levels are maintained for stationery, housekeeping, PPE and the kitchen.
4. To ensure accurate sponsorship recording prior to appointments, take payments and reconcile finance reports.
You’ll help us make health happen by:
5. Ensuring a warm and courteous welcome to all visitors to the department.
6. Obtain all relevant information from clients in a polite, confidential and friendly manner.
7. Ensuring clients are aware of charges/UTA/DNA policies.
8. Dealing with all direct and indirect enquiries in a professional, friendly and helpful manner.
9. Sending letters and other information as required.
10. Writing to referrers if unable to make contact with referred patients or if patients do not attend for appointments.
11. Booking interpreters as needed.
12. Collecting from and deliver post to the post room.
13. Keeping an organised and tidy reception area.
14. Ensuring marketing and information leaflet racks are stocked.
15. Storing and file all necessary documentation.
16. Participating in running our Outpatient Satisfaction Survey.
17. Supporting therapy management with KPI data collection.
18. Making reasonable efforts to diffuse verbal complaints in the department and to be aware of the hospital’s procedures for making a formal complaint.
19. Booking interpreters as needed.
Key Skills / Qualifications needed for this role:
20. Excellent interpersonal skills and the ability to communicate with colleagues
21. Excellent time management skills
22. Strong verbal and written communication skills
23. IT proficiency including the use of Microsoft office systems
24. Experience of handling money in a business setting
25. Relevant customer service experience
26. Team player
