Job Overview: We are seeking a motivated and organized individual to join our team as a Part-Time Groups, Meetings, and Events Coordinator at Novotel Leeds. In this role, you will be responsible for coordinating and delivering a range of events, meetings, and group bookings, ensuring all aspects of the event are planned and executed flawlessly. You will work closely with clients, internal teams, and suppliers to ensure a seamless experience for all guests.
Key Responsibilities:
* Event Coordination: Oversee the planning of meetings, conferences and special events held at the hotel, ensuring they are organised and delivered to the highest standard
* Client Communication: Act as the main point of contact for clients, managing enquiries and providing excellent customer service before, during, and after events.
* Event Setup and Logistics: Coordinate event logistics, including room layouts, audio-visual equipment, catering, and other special requirements.
* Team Collaboration: Work closely with internal departments (e.g., food and beverage, housekeeping, front desk) to ensure all aspects of the event are covered and that the clients needs are met. Work cohesively with our other executive to ensure the smooth communication with clients
* Sales Support: Assist the sales team in converting inquiries into confirmed bookings, providing support during the pre-event and post-event phases.
* Administrative Support: Prepare event contracts, manage bookings, maintain event calendars, and ensure accurate documentation and records for all events.
* Health and Safety Compliance: Ensure that events are compliant with health, safety, and legal regulations.
Key Skills and Requirements:
* Previous experience in event coordination or hospitality, preferably within a hotel or similar environment would be preferred but not required.
* Excellent organisational and multitasking skills with a strong attention to detail.
* Strong communication and interpersonal skills, with the ability to build positive relationships with clients and team members.
* Ability to work well under pressure and meet tight deadlines.
* Proficiency in Microsoft Office and event management software (experience with Opera or similar systems is a plus).
* Flexibility to work evenings and weekends as required by event schedules.
* A proactive, enthusiastic, and solution-oriented approach to problem-solving.
