UTA is seeking an Assistant to work with a Production Arts Agent, based in our London office. The Agent represents Directors of Photography, Production Designers, Costume Designers and other Heads of Department for long-form projects (i.e. television, feature motion pictures). The Assistant will have previous experience working within the Film, TV or advertising industries and be able to work within a dynamic, fast-paced and high-pressured environment. You will be responsible for managing both your Agent’s and Clients’ schedules, tracking deals, corresponding with producers and creatives, and quickly anticipating the needs of your Agent and their Clients – all ensuring the smooth running of your Agent’s office. What You’ll Do: Your responsibilities will include, but not be limited to: Managing the Agent’s and clients’ diaries Setting up and co-ordinating meetings for the agent and their individual clients Assembling CV submissions for producers and studios Sending script submissions to clients Assisting the Department Coordinator with organizing Department events Assemble various tracking grids for the Agent and entire Department Complete production start forms on behalf of clients and assist with onboarding clients to new production projects Input deal terms into accounting tracking system Generally support the UK Accounts team with other basic accounting tasks on an ad hoc basis Posting to our Instagram account Supporting the agent on updating web pages and CVs Onboard new clients according to Department’s systems Watching client work and keeping up to date with the industry output Providing cover for the agent when they are away from the office Answering the phone, transferring calls to agent, taking messages, and covering for colleagues when they are away from their desks. Attending industry events when required Ad hoc admin tasks What You’ll Need: An interest in the craft of filmmaking and the entertainment business A desire to learn Some prior production or agency experience is advantageous Ability to multitask and prioritize a busy workload Strong people skills, proactiveness and positivity Fantastic organizational and problem solving skills Strong verbal, written and telephone communication skills. Familiarity with Microsoft products (Outlook, Word, Excel). A high level of accuracy and attention to detail in your work Discretion at all times, particularly when dealing with sensitive client matters.
