Business Support Assistant - 12 month contract

HOW WILL YOU MAKE A DIFFERENCE?
The Business Support team are at the heart of the business, supporting all departments and providing a friendly and helpful service. They provide vital support to client-facing teams with administration tasks that require accuracy and attention to detail. They are also available to help Senior Management with admin and scheduling. They are the first point of contact for inbound calls, ensuring a high level of customer service is always extended to all customer enquiries.
VARIED DAY TO DAY RESPONSIBILITIES
1. Preparing contract documents at the request of the Sales Team with a high level of accuracy and attention to detail
2. Verifying documents and processing through to different teams
3. Producing welcome letters for Customer Success introductions
4. Ordering and processing Client International Check Requests
5. Answering telephone calls professionally, and directing them in an appropriate way using Microsoft Teams
6. Welcoming visitors and providing refreshments during their visit
7. Ensuring the office is presentable, tidy, warm and welcoming for all visitors
8. Checking all meeting rooms on a regular basis and clearing when necessary
9. Creating promotional packs, proposals and welcome letters for various teams
10. Recording and storing agreements on the internal system
11. Producing reports for Directors and Leadership on an ad-hoc basis
12. Uploading content to update the welcome screens for visitors
13. Managing outgoing post from all departments
14. Stock Management
15. Scanning, photocopying, binding and managing internal administration where necessary
WHAT ARE WE LOOKING FOR IN A CANDIDATE?
We are looking for someone who values teamwork as much as the rest of us. You will be able to demonstrate lots of passion and initiative to develop a successful and rewarding career. You will be a quick learner who can grasp new information and respond to your clients' needs. Our business moves at a fast pace and can be challenging and exciting so you will need to be confident multitasking. You are keen to progress within a large team structure and will have a drive to succeed, evidenced by achieving goals and targets. Attention to detail, in particular an excellent standard of written communication, is vital to always maintain a precise and professional service. A good understanding of common technology including Microsoft Office, Teams, Outlook etc. is beneficial, although training will be provided. Where necessary demonstrate the initiative to improve the processes involved in their role.
