Reporting to the Service Manager, you'll play a key role in supporting a team of 21 engineers and office staff, ensuring our operations run smoothly, safely, and efficiently. About the Role: In this role, you'll take ownership of a wide range of responsibilities that are critical to the success of our service delivery. You’ll manage job assignments through the CAFM system, ensuring engineers and contractors are dispatched promptly. You'll be responsible for procuring equipment, ordering parts, and raising purchase orders, always ensuring best value and compliance with our preferred supplier guidelines. You'll also keep our paperwork organised and up-to-date, uploading reports and certificates to our system in real time to support accurate KPI tracking. Safety is at the heart of everything we do, and you’ll play a key role in maintaining our site standards. From ordering and managing PPE stock to handling security clearance paperwork and keeping safety notices and induction materials current, your attention to detail will help ensure our team and visitors remain protected and informed. You’ll be the face of great service for the customer, providing regular updates on ongoing work and attending meetings to take minutes and track actions. Your communication skills and friendly professionalism will help build trust and confidence. When issues arise, you’ll support managers in investigating and resolving complaints quickly and thoroughly. We’re looking for someone who takes initiative but also works well with others – someone who genuinely cares about getting the job done right and supporting their colleagues along the way. To succeed in this role, you’ll need previous experience in a similar administrative role, with facilities or construction environment experience strongly desirable. Strong IT skills are essential, particularly with Microsoft Excel and it is desirable that you have experience using a CAFM system such as Maximo. You should be a confident communicator, eager to learn, and comfortable managing competing priorities. This role requires you to be eligible for SC security clearance.
