Applications are invited from suitably qualified and experienced candidates for an Administrative Officer to work within our Talking Therapies Team based at Grange Park Clinic, Monkwearmouth Hospital.
The post holder will be part of the larger Admin Team dealing with incoming referrals via telephone, paper, and online. You must have a good telephone manner and be prepared to communicate with mentally unwell patients, sometimes taking personal information.
The ideal candidate should:
* Have experience of working with Microsoft packages and electronic record systems
* Have experience of diary management
* Have excellent typing skills
* Have excellent telephone manner
* Have excellent customer care and communication skills
* Have a good working knowledge of office procedures
This is a full-time post, Monday to Friday, 37.5 hours per week, and is office-based.
Main Duties of the Job
The post holder will work together with the wider Clinical Team and Senior Clinicians, as well as the extended Admin Team.
The post holder must have experience of general office duties such as filing and scanning. Rio & IAPTUS experience would be an advantage but not essential as training will be given. The post holder will carry out duties assigned to them to ensure a comprehensive, high-quality administration service.
The post holder must be confident dealing with service users and internal and external services both face-to-face and via telephone contact.
Working with members of the administration team who are not based on the same site, you will be expected to provide cover during periods of absence.
The ideal candidate should demonstrate the ability to deal with exposure to highly distressing or emotional circumstances and will be expected to participate in all relevant training courses appropriate to the role.

Person Specification
Education and Qualification
* Word-processing skills at Level 3 (OCR/RSA Level 3 or equivalent qualification and/or demonstrable relevant experience) e.g., NVQ Level 3 in Business Administration (or equivalent)
* General level of education to O-Level/GCSE or equivalent, including English and Maths
* NVQ Level 3 in Customer Care (or equivalent)
Knowledge and Experience
* Knowledge of NHS Policies and Procedures
* Working knowledge of Microsoft applications, including email communication
* Ability to maintain and update Patient Information Systems e.g., RiO & IAPTUS
* Good working knowledge of office procedures
* Previous secretarial/clerical experience
* Ability to uphold confidentiality at all times
* Able to prioritise and plan own workload
* NVQ Level 3 or equivalent in Business Administration
* Experience of working within an office environment
* Minute taking/Note taking experience
