JOB DESCRIPTION – Personal Assistant
Responsible to Director:
Summary of the Role
The key purpose of the role is to support the Director with administrative tasks and providing domiciliary care for the needs and aims of the business.
The role is multifaceted and involves the following: scheduling appointments, doing administrative tasks and providing excellent care that enables individuals to be able to live in their own home as independently as possible, whilst respecting their preferences and choices in the domiciliary care setting.
You may also be required to conduct initial assessment, risk assessments of packages, spot checks and call monitoring.
Responsibilities
Organize and maintain calendars, including scheduling appointments, meetings, and events.
Coordinate travel arrangements, including flights, accommodation, and transportation.
Act as the first point of contact for diary-related inquiries.
Draft, edit, and proofread correspondence, reports, and presentations.
Manage phone calls, emails, and other communications on behalf of the individual.
Maintain an organized filing system for documents and record keeping including of service users.
Plan and execute events or staff meetings, including preparing agendas and documenting meeting minutes.
Handle personal errands and tasks as needed.
Monitor deadlines and follow up on outstanding items such as pending trainings of staff.
Manage sensitive information with the highest level of confidentiality of service users and staff.
Build and maintain trusting relationships with colleagues and service users.
May be involved with conducting assessments of new packages to identify the needs, preferences, and any specific requirements of service users to ensure person cantered care.
Collaborate with service users and their families to develop care plans that address individual needs and preferences while promoting independence and dignity of service users.
Provide personal care, moving & handling, medication administration to service users while respecting their choices and promoting their independence.
Be readily available for on call.
Key Requirements:
Access to a car and a valid driver’s licence.
DBS on Update Service.
Experience in administrative tasks.
Experience with working in the healthcare setting.
