We are seeking to appoint an enthusiastic and confident Secretary/Administrator to provide a comprehensive Personal Assistant and Secretarial support to the Neonatal and Paediatric Transport Senior Team. The team includes the General Manager, Heads of Service, Matrons, Clinical Educators and Team Leaders.
The successful candidate will work as a Team Secretary to ensure all secretarial and administrative support to the Paediatric and neonatal senior transport team is undertaken, which includes: diary management, typing, taking phone calls, organizing meetings and transcribing of meeting minutes/notes.
• Ensuring documents for meetings are sent out in a timely manner.
• General day to day support for the senior team in organisation and running of the service.
• To ensure effective communication between the Managers, Heads of Service, senior nursing team and medical staff whilst maintaining confidentially at all times.
• Ensure timely and accurate communication with other teams, families and patients the service may have contact with.
• Manage electronic diaries for the neonatal and paediatric transport senior team, general manager, Heads of Service, Consultant leads, Matrons and educators.
• Action incoming mail, making appropriate decisions in relation to the actions required.

About the University Hospitals of Leicester NHS Trust:
• Be responsible for the organization of meetings, seminars and Time Out’s for the, undertaking fully the arrangements for the day i.e. venue, presentations, circulation lists, refreshments and taking minutes and follow up actions as appropriate.
• Prioritise workload, identifying priority issues and ensuring specific timescales are met.
• Act as one of the initial points of contact for all clinical and non-clinical departments both within the hospital and outside organisations.
• Prepare presentations using Word, PowerPoint and Excel as and when required.
• Be responsible for the organisation of national and international travel arrangements, as and when required
• Be responsible for attending, taking and distributing and minutes meetings and Boards. Further meetings may require ad hoc representation and support.
• Be responsible for attending, taking and distributing minutes for the senior nurse and education meetings.
• To assist in the collation of absence management data and production of quarterly reports
• Be responsible for processing travelling expenses and payroll claim forms
• Be responsible for dealing with Payroll returns.
• Be responsible for updating reports for Workforce Planning and Finance to include Appraisals, and NICE & HCT.
