Job summary The Wirral service was one of the first services contracts to be awarded to ABL and we continue to support the needs of any clients who smoke or use any form of tobacco to quit. We support anyone who is registered with a Wirral GP, or who live or work in Wirral and we are looking to strengthen our Admin team to support additional referrals and needs of the service. Role Purpose: The post holders main duties will be to provide administration support for a smoking cessation service. The post holder will be responsible for a range of administration, ensuring the smooth running of the office and the administration of the programmes to meet targets and deadlines set by the funding bodies. Main duties of the job We are looking for a highly organized and proactive individual to provide essential administrative support within a busy office environment. The role involves handling incoming calls, directing them appropriately, and ensuring messages are managed efficiently. As part of the administrative team, you will share responsibilities fairly, support colleagues, and provide general clerical assistance, including word processing and filing. Key duties include managing and maintaining confidential patient records both digitally and on paper, processing healthcare referrals within company timescales, and accurately recording client data on service databases. You will be responsible for booking client appointments using appropriate calendar software and utilizing IT systems such as Excel, Word, and in-house databases to exchange and manage information. The role also requires working closely with managers to prepare reports, source new venues within budget constraints, and monitor service targets. Additionally, you will assist with stock control and administration of nicotine replacement and vape products, take and distribute meeting minutes, and provide flexible cover for colleagues during annual leave or sickness.
