Job Purpose To provide a range of administrative support within the Biological Safety team of the College of Medical, Veterinary and Life Sciences (MVLS). The post holder will assist the MVLS Biological Safety Manager on administrative duties related to general biosafety management as well as clerking College Genetic Modification (GM) Safety Committee meetings and contributing to the organisation of biosafety training seminars. The role requires a high degree of organisation to ensure that administrative tasks are dealt with efficiently and effectively. Main Duties and Responsibilities 1. Work with the MVLS Biological Safety Manager to assist in the provision of administration support for biosafety management tasks including monitoring and responding to e-mail enquiries and collation of biosafety management data required for audit purposes. 2. Assist in the organisation of College GM Safety Committee meetings, working closely with the Chairs to ensure that all necessary pre-meeting arrangements are in place e.g. booking venue, arranging Zoom/Teams links and preparation and circulation of agendas and papers. 3. Act as clerk for College GM Safety Committee meetings and ensure that accurate minutes are kept and distributed. 4. Liaise with Containment Level 3 managers throughout MVLS to support administrative tasks. 5. Administration of biosafety information to build into the MVLS website. 6. Assist in the organisation of biosafety workshops and any other training events, meetings and events. 7. Conduct such other duties temporarily or on a continuing basis, as may reasonably be required, commensurate with your grade. Knowledge, Qualifications, Skills and Experience Knowledge/Qualifications Essential A1. Scottish Credit and qualification Framework level 7 (Advanced Higher/Scottish Vocational Qualification level 3, Higher National Certificate) or equivalent, and experience of personal development in a similar role. A2. Strong IT knowledge and skills, in particular using Zoom, Teams, Outlook, Word and Excel. A3. Knowledge of electronic diary management. Desirable B1. Knowledge of University management systems e.g. Agresso, MyCampus, Ivanti Skills Essential C1. Excellent organisational and time management skills and an ability to manage and prioritise a busy workload calmly and methodically to ensure that deadlines are met. C2. Excellent written and oral communication skills C3. Relevant administrative experience gained through relevant work experience in a busy office environment. E2. Experience of managing administrative processes, including the collation and monitoring of a range of data. E3. Experience of dealing effectively with a wide range of customers and staff at all levels in an organisation, using initiative and judgement to proactively resolve issues. E4. Experience of clerking meetings and providing accurate minutes of meetings. Desirable F1. Experience of working within a Higher Education environment. F2. Experience of providing administrative support to senior academics. F3. Experience in a Personal Assistant role. Terms and Conditions Salary will be Grade 5, £26,038 - £30,505 per annum, pro rata. This post is part time (17.5 hours per week) and fixed term for up to 12 months from the start date.
