Salary Range: £45,000 - £50,000 per year Key Responsibilities: Personal Finances Management: Assist with taxes, bills, and other financial tasks, supporting the executives with both business and personal finances. Documentation Management: Handle and organize personal and business-related documents with care and confidentiality. Personal Errands: Manage and execute a variety of personal tasks and errands efficiently. Workflow Management: Oversee goals, tasks, and priorities, ensuring smooth and effective workflow across the team. Email & Schedule Management: Manage executives’ inboxes, calendars, and schedules, ensuring timely responses and well-organized days. Document Preparation: Draft, proofread, and prepare documents and presentations for various purposes. Meeting Coordination: Arrange and coordinate meetings, including setting agendas, taking minutes, and ensuring follow-up actions are completed. UK Office Management: Manage the UK office operations, ensuring everything runs smoothly and efficiently. Research & Decision Support: Conduct research and provide information to assist in decision-making processes. Travel Management: Coordinate and manage all aspects of travel, including booking flights, accommodations, and ground transportation. Team Support: Assist with various tasks across the team as needed, ensuring a collaborative and supportive work environment. Must-Haves: 5 Years of Experience Supporting C-Suite or Large Businesses: Extensive experience supporting high-level executives or working in large organizations (no small businesses). Local to Portsmouth, UK: Must be local to the Portsmouth office as this is an in-person position. Strong Time Management & Prioritization Skills: Ability to manage multiple tasks and prioritize effectively to meet deadlines. Excellent Verbal and Written Communication: Clear, articulate, and professional communication skills are essential. Project Management Experience: Proven ability to manage projects from inception to completion, ensuring all aspects are executed with attention to detail. Attention to Detail: Meticulous in reviewing documents, managing schedules, and ensuring nothing slips through the cracks. Tech Savvy: Proficient with G-Suite, Microsoft Office, Adobe, and other relevant software and systems. Problem-Solving & Proactive Decision-Making: Ability to identify issues and resolve them quickly and efficiently, often before they become problems. Financial Literacy: Comfortable handling and managing financial tasks, supporting the executives with both business and personal finances. Discretion & Confidentiality: Ability to handle sensitive information with the utmost discretion and professionalism. Travel Coordination Experience: Experienced in managing complex travel arrangements and itineraries. Flexibility in Schedule: Ability to adapt to varying work hours as needed to support the executive team effectively. Preferred Qualifications: Experience in a similar executive support role. Familiarity with UK business operations and office management. Ability to work independently and as part of a team. Strong organizational skills and the ability to adapt to changing priorities.
