About two-thirds of the role is allocated to supporting the coordination of the annual governance cycle, arranging Board members’ international travel, liaison with Board members regarding the signing of legal documentation, supporting internal users with governance systems (eg. SharePoint, Board Management Platform), and clients UK Directors’ diary management.
The remaining third of the role focuses on supporting Association member engagement through contributing to the delivery of bespoke events, association debates and socials, communications, and through website and database management, under the guidance from the Association Engagement Coordinator.
Who you will be working for?
Our client is an independent global humanitarian charity located in London.
What would you be doing?
1. Organise and facilitate the logistics of Board member international travel arrangements ensuring alignment with trustees.
2. Process around 20-25 trustees’ travel requests across the year responsively and accurately, ensuring alignment with relevant travel and finance policies.
3. Maintain Association membership database and design and compile data reports to help track engagement performance and trends to inform strategies.
4. Support the design and execution of a programme of in-person and hybrid Association events, including logistic support, promotion and coordination with internal and external stakeholders, under the guidance from the Association Engagement Coordinator.
5. Provide occasional diary management for Directors to support them in using their time effectively.
6. Organise social gatherings, in or outside London, once every quarter to connect current and potential association members with an aim to increase members' satisfaction with association social opportunities.
7. Ensure essential administrative tasks within the G&A team are completed promptly and to a high quality; identify potential improvements to administrative tasks and suggest how to implement improvements.
8. Collate Board and committee meeting papers to a high quality and distribute them promptly (for approximately 25 meetings across the year).
About You
1. Demonstrable interest in governance and management of complex organisations.
2. Demonstrable interest in humanitarian work.
3. Excellent written and oral communications skills.
4. High degree of accuracy and good attention to detail.
5. Exceptional organisational skills with experience of managing multiple tasks and prioritising effectively.
6. Ability to adapt communication to a diverse range of people and audiences.
7. Proficient experience in the practical use of personal IT equipment and Microsoft Office 365 suite. Ability to effectively collaborate and communicate within a hybrid working environment utilising Microsoft Teams, SharePoint, OneDrive and Yammer.
