Victoria Ward is a 21 bed ward and is for general medical, frailty, dementia, and palliative patients. Our vision is to deliver outstanding care to patients on the ward and aim to give individual patients, personalised holistic care during their stay with us.
The position is for 10 hours per week with five hours on Monday and five hours on Friday. Unfortunately, these days are not negotiable but the working times within the days are i.e you could work school hours.
We are looking to appoint a self-motivated, enthusiastic person who can work as part of our busy unit. You will be part of the multi-disciplinary team and have the ability to work flexibly with good organisational skills that enable you to work on your own initiative to tight deadlines, thus contributing to the smooth running of the department.

5. Ensuring that notes are tracked and available for doctors
Applicants must have good communication skills as well as some IT and PC skills. Knowledge of Lorenzo is desirable but full training will be given.
Main Duties of the Job
The role of the Ward Clerk is multi-faceted. The Ward Clerk provides support to the team and the unit manager in clerical duties, the daily running of the department and ensures that all support facilities are in place.

Job Responsibilities
Main Duties:
1. Answering any telephone enquiries in a polite and efficient manner
2. Filing results in patient files
3. Ordering patient files and notes
4. Ensuring that all patients have up to date VTE forms
5. Maintaining up to date information on the Trusts computer systems (e.g. Healthroster, Lorenzo and Digit)
6. Liaise with other members of the multi-disciplinary team, such as secretaries, social services etc.
7. Requesting and obtaining patient records and x-rays
8. Booking patient transport as required
9. Booking and rescheduling patient appointments when required
10. Direct admissions to the ward
11. Photocopying, scanning and faxing documents as required
12. Provide clerical support to the Ward Manager
13. Deliver referrals to the relevant departments
14. Make any relevant follow up appointments for patients
15. Assist with lunchtime service
16. Log any maintenance work as when required
17. Demonstrates own work duties to new starters
Service Improvement and Audit:
1. To carry out ward based audits of aspects of patient care that relate to the role of ward administrator e.g. booking of procedures and outpatient follow up in order to improve the service provided to patients.
2. To provide clerical support to the nursing staff on the ward for audits that they carry out.
3. To carry out the coding of all the ad hoc/ward patients that are seen on the surgical unit and support the work of the coding department.
4. To order stationary and general supplies to ensure the ward area is adequately covered.
5. To ensure the nursing station/ward clerk area are kept generally tidy.
Communications and Working Relationships:
1. To communicate with others in a polite and courteous manner at all times.
2. The post-holder will be expected to communicate with medical and nursing staff and also with patients, relatives, carers and other members of the public.
3. The post holder should maintain patient confidentiality at all times.
4. The post holder will be expected to act in accordance with all Trust policies and procedures at all times.
