There is a new exciting opportunity at our Oxford branch for a Personal Assistant to join the firm’s friendly team on a full time (35 hours a week) basis.
The Oxford team enjoy the collaborative nature of being amongst each other, so therefore we are requiring that this personal assistant can commit to a 5 day a week office-based role.
The Oxford team, made up of 22 legal professionals, specialises in Wills, estate planning, powers of attorney and estate administration for a broad range of clients including local business owners, high net worth individuals as well as several local and national charities.
The team currently have four legal secretaries supporting the fee-earners.
The successful person will be involved in a mix of legal and office-based tasks ranging from scanning in post, welcoming clients as they arrive, to legal administration duties. Such tasks will include typing and undertaking all word processing requirements and amendments to legal documents, liaising with clients, arranging and booking meetings and managing related bills.
ABOUT YOU
This role is ideal for someone who has had previous experience as a Personal Assistant or Legal Secretary in a law firm. You thrive on being highly organised with excellent attention to detail and have a passion for people and providing excellent client care. Strong written and verbal communication skills are essential for this role as well as excellent IT skills (Excel, PowerPoint, Word).
You are able to build effective relationships with the team and other internal and external stakeholders whilst having a proactive mindset and enthusiasm for streamlining processes.
You are comfortable working under pressure with tight deadlines whilst still being able to manage time effectively and prioritise different workloads accordingly.
On some occasions you may need to work outside of core hours when events require it.

1st interview (via Teams)
At this stage, you will get the chance to learn more about the role, the firm and also to ask any questions you may have. This online interview will be with our Recruitment Manager and the Head of the Oxford office, who will be asking you a series of competency-based questions aligned to the behaviours/skills needed to be successful in this vacancy.
Every candidate who reaches this stage will be told if they have been successful or not in progressing to the next stage.
Final interview (in person at our Oxford office)
This will be at our Oxford office with the offices’ head of private client and one additional partner. You will be asked further competency/behavioural based questions. This will be a great opportunity to gain further insight into the role and team dynamics.
Every candidate who reaches this stage will be offered the chance to have a feedback call with our Recruitment Manager to understand why they weren't offered the position, so that you can use this feedback to help with other job applications.
Offer of employment
If you are successful and accept our offer of employment, we will submit your details to our background screening company, who will conduct a series of background checks. Once these have been completed and we have separately validated your proof of right to work in the UK, a start date can be agreed, and your onboarding schedule can be planned.
