Position Summary: We are seeking a highly organised and professional individual to join our team as a Receptionist and Legal Administrator. This dual-role position combines front-line reception duties with administrative support across various legal departments. The ideal candidate will be approachable, detail-oriented, and able to handle multiple tasks efficiently in a fast-paced legal environment.
Core Responsibilities:
1. Answer and direct all incoming telephone calls to the appropriate person or department.
2. Perform general administrative tasks, including scanning, filing, and managing incoming and outgoing mail.
3. Maintain a tidy office and kitchen area, ensuring all meeting rooms are stocked with necessary supplies.
4. Greet clients with a professional and friendly demeanour, ensuring a positive first impression.
5. Assist with daily office operations, such as emptying the dishwasher, collecting full shredder bags, and ensuring mail is sent out daily.
6. Use the practice management system effectively for administrative tasks and client enquiries.
7. Take detailed instructions for client queries before passing them to the relevant lawyer.
Legal Administrator Duties:
1. Provide administrative support to the Commercial Property, Family, Private Client, Employment, Litigation, and Company departments.
2. Liaise with clients and legal teams to ensure timely communication and resolution of client queries.
3. Open new matters on the case management system and assist with compliance procedures, including client care letters and ID checks.
4. Coordinate with clients to gather necessary documents and assist with will signings.
5. Assist with file archiving and maintaining organised records across departments.
Qualifications:
1. Strong organisational and communication skills.
2. Ability to prioritise tasks and manage a busy workload.
3. Professional appearance and attitude.
4. Previous experience in a receptionist or administrative role within a legal environment is desirable but not essential.
5. Willingness to undertake training and adhere to firm policies.
