To perform a range of administrative and reception tasks to support the practice's seamless operation and deliver top-notch care to patients, physicians, nurses, and other team members.
Reception Duties:
1. Greeting and receiving patients, caregivers, and visitors.
2. Check in patients upon arrival using the practice computer system (EMIS) or instruct them to self-check in.
3. Handle incoming inquiries, such as requests for blood forms or private letters.
4. Effectively inform and assist patients with the registration process.
5. Use the practice computer system to process patient appointment requests for today and future appointments.
6. Hand out completed repeat prescriptions to patients and pharmacy staff while accurately recording the process.
7. Accept payments from patients for private services and follow the practice procedure to ensure that they are recorded and stored correctly.
8. Oversee the reception and waiting areas to ensure the comfort of all patients.
9. Keep the reception and waiting areas tidy at all times.
Tasks:
1. Processing messages through electronic messaging systems such as Docman, Emis, email, and CAS alerts.
2. Maintain awareness of the rota for dealing with tasks on a daily basis.
3. Check and respond to all incoming electronic requests using the practice messaging systems listed above, in accordance with practice procedure.
4. Each morning, empty the doctors' baskets and effectively manage any requests from the doctors.
Prescriptions:
1. Process repeat prescription requests in line with practice guidelines.
2. Collect and process repeat prescription requests via fax machine, script box, and online.
3. Communicate with patients, community pharmacists, surgery pharmacists, and clinicians about questions and requests.
4. Ensure that repeat medication is issued in accordance with practice protocols, and that any questions raised are addressed promptly and correctly.
5. Ensure that patients' medication-related questions are directed to the Surgery Pharmacist or the appropriate GP.
Scanning and Read Coding Duties:
1. Sort, date stamp, and distribute incoming mail.
2. Scan and electronically file clinical correspondence.
3. Scan patient-related documents onto medical records including additional information about document source.
4. Forward documents to relevant doctors or nurses.
5. Ensure incoming letters are scanned within a 24-hour timeframe.
6. Highlight urgent documents to the document management team.
7. Store internal paper documents in line with practice procedures.
8. Collect documents, read code, and distribute according to the Process Map.
9. Regularly update the Process Map.
10. Attend monthly meetings for changes, audits, feedback, and concerns.
Other Tasks:
1. Attend scheduled staff and practice meetings.
2. Ensure that consulting rooms are well-stocked with stationery, supplies, and disposables.
3. Ensure that building security has a thorough understanding of doors, windows, and alarms.
4. Complete all duties listed on the morning and evening rotas.
5. Any other duties that may be deemed appropriate for the role.
6. Provide holiday/sickness cover for absent receptionists as needed.
