As the Creative Traffic Manager, you will streamline workflow, optimise planning, and prioritise tasks effectively, enabling seamless collaboration across creative teams and the wider business.
Role and Responsibilities:
Traffic Management & Capacity Planning
1. Project Allocation: Ensuring projects are realistically trafficked across creative and communications teams, working closely with the relevant project managers (or equivalent role) in each team to plan workload in line with team capacity.
2. Brief Scoping: Assess and scope incoming creative briefs, allocating the relevant resource and effort based on brief requirements and deliverables.
3. End-to-End Brief Management: Take ownership of the entire brief lifecycle, from initial intake to final delivery. Validate briefs to ensure they are comprehensive and feasible within available resources. Track each brief through all stages, maintaining regular updates with stakeholders.
4. Resource Monitoring: Track project workflows, manage workloads and timelines, proactively address capacity concerns, and reprioritise briefs as required. Escalate issues needing senior-level intervention when necessary.
5. Freelance Management: Reach out to freelance talent when necessary. Maintain and archive essential documentation, including freelance agreements and raise freelance Pos.
People and Communication Skills
1. Relationship Building: Cultivate collaborative, respectful relationships across teams to support smooth workflow and communication, particularly during high-demand periods.
2. Effective Communication: Maintain open lines of communication to ensure alignment on logistics, scheduling, and traffic management insights. Set clear expectations with all involved parties.
3. Proactive Issue Resolution: Promptly escalate challenges related to workloads, resources, or prioritisation, providing solutions to minimise disruptions and delays.
Workflow Management System Maintenance
1. Platform Optimisation: Use monday.com to streamline project tracking and resource allocation, creating custom views, automations, and reports to enhance visibility, monitor interdependencies, and identify potential bottlenecks.
2. Resource Planning: Use monday.com’s workload view to resource plan and assess team capacity, providing a clear view of project demands and team availability.
3. Brief Templates: Update templates and intake forms in monday.com ensuring consistency and thoroughness.
Dashboards and Reporting: Maintain and update dashboards that give the Creative Leadership Team and stakeholders an at-a-glance overview of current projects, resource allocations, and potential bottlenecks.
You will have:
1. Proven experience in traffic management within a dynamic, high-output environment that demands multi-faceted skillsets and the ability to balance competing priorities.
2. Highly organised with the ability to prioritise effectively in a fast-paced environment.
3. Communicates messages clearly and confidently to ensure mutual understanding across stakeholders.
4. Demonstrates resilience and adaptability under pressure, maintaining team momentum in high-stakes situations.
5. Shows empathy towards team challenges, while remaining focused on prioritising efficiency and meeting deadlines.
6. Prior experience in a creative, fashion, retail, media, or art-focused business where traffic management is integral to maintaining timelines and quality standards.
7. Advanced level of competence in Microsoft Office.
8. Experience of using a workflow management system, ideally monday.com.
9. Can resolve technical difficulties when they arise.
10. Positive and self-motivated - approaching tasks with energy and enthusiasm.
11. Highly organised and methodical.
12. Confident and articulate.
13. Resilient – able to cope with pressure, be flexible, think quickly to solve problems and safeguard the team’s ability to deliver.
14. Although traffic management experience is the key requirement, the jobholder should have an affinity with the creative/art world, as well as understanding of the fashion/retail and digital worlds to be able to understand the likely demands of incoming projects.
