We are seeking an Office Manager to join our well-established team located in Malvern, Worcestershire (UK). This is a full time, onsite role (although part time hours may be considered).
Role Overview:
The Office Manager will be responsible for providing administrative support to the Raytheon Malvern site, performing complex administration activities in relation to the day-to-day work of the Managers and Departments. These activities will include undertaking travel and purchasing administrative duties and covering our Front Reception when required.

What YOU will do in this role:
Administrative Support
* Calendar management: arranging/scheduling/accepting meetings, determining priorities and maintaining multiple calendars
* Organisation of meetings, including rooms, other resources. Booking refreshments, meeting and greeting visitors on arrival. Attendance at on-site or off-site meetings if required, to take notes/actions
* Providing support to the team when submitting expense claims through our Concur Expense management tool
* Domestic and International Travel: to be the SME for Travel and Expense reporting for the site booking travel and accommodation, using the Concur online booking tool or via our preferred travel agent, adhering to strict travel security and approval processes, managing multiple reschedules, as they happen. Support the business with any questions regarding the travel policy, expenses, claim entries and approval process as required. Liaising with the European Shared Service centre as required to resolve any issues
* Perform and assist with administration duties, such as submitting Purchasing requests via our online systems, ensuring correct approvals are obtained, and requests reach the Procurement department in a timely manner
* Create and maintain appropriate records and filing systems, adhering to company and team guidelines
* Screen Incoming Calls: handle call or refer to appropriate contacts, working routine matters with our internal and external customers
* Reception Cover: support our Front Reception when required, providing switchboard cover, and dealing with outgoing post
* Back up support on onboarding and offboarding of all new employees and contractors
* Support of meetings including facilitation of briefing documents, minute taking and action tracking
* Help with the supervision of contractors carrying out maintenance at the facility
Global Trade Support
* Reviewing and approving visitor requests via the Visitor Management System, in conjunction with Global Trade & Site Security requirements
* Reviewing and approving employee International Travel request forms, in conjunction with Global Trade requirements
* Perform visitor screening, via the Descartes MK Denial system, in conjunction with Global Trade requirements
General Activities
* Liaising with various parts of the business including Supply Chain, Operations, Engineering and Programmes
* Contribute to team growth through active participation in improvement initiatives
* From time to time the successful candidate may be required by the Company to perform other tasks and/or learn new skills which are not included in the above responsibilities, but are within their capabilities and, where necessary, training will be given
