You will provide executive level support to the COO. Your main responsibilities in this role are to maintain the COO’s schedule, coordinate with internal and external stake holders, provide logistical and travel support and work on operations related projects. You will be based at our Luton Head Office with hybrid/home working arrangements available. It will be beneficial to have a valid UK driving licence and access to a car as you may be required to travel to sites or other office location from time to time. As an Executive Assistant you will be: Maintaining an accurate and detailed calendar for COO, managing and logging incoming scheduling requests, re-schedule meetings upon request, proactively communicating changes, and anticipating and responding to scheduling conflicts Tracking COO’s tasks and projects to ensure appropriate prioritisation of projects with respect to deadlines and organisational developments Organising internal and external meetings for COO, including logistical and substantive preparation Managing all travel scheduling and arrangements Tracking and reconciling monthly credit card statements and complete and submit expense reports in a timely manner Conducting preliminary research on a variety of topics; draft materials as needed Establishing and maintaining efficient office systems and ensuring the provision of a full secretarial and administrative service for the Chief Operating Officer Coordinating reports for submission to various external and internal bodies Travel and accommodation arrangements. Producing presentations as required Organising meetings and agendas, taking minutes of meetings and putting together action trackers Support with events and conferences as required Provide holiday and absence cover for other Executive Assistant as and when required To be successful in the role, you will need: Administrative and secretarial skills To be experienced and proficient in all Microsoft Office products including Word, Excel, Powerpoint To have Verbal and written communication skills To have numerical and verbal literacy skills To have the ability to make judgments unaided and to work proactively To have the ability to maintain confidentiality at all times and handle highly sensitive information To have a particular eye for detail and accuracy What you will get: Annual salary of £35,000 The equivalent of 33 days annual leave –( inc Bank Holidays) plus your birthday off!
