Role Overview
You will ensure all reception and administrative activities in the Bupa centre are carried out efficiently and effectively. As well as the background administrative tasks you will meet and greet our customers, making them feel at ease and comfortable. You will thrive on delivering exceptional customer service (adults and children) even under challenging circumstances.
You’ll help us make health happen by:
1. Greeting and welcoming customers in addition to supporting the customer journey throughout the centre right through to a thorough checkout.
2. Answering, screening, and forwarding incoming customer queries via phone calls and proactively managing local mailbox and emails.
3. Proactive in maintaining a well-presented reception and waiting areas.
4. Ensure all customers have the correct paperwork to support their visit – appointment packs clinical file preparation and consent forms.
5. Effective results management (including receiving, scanning, and uploading) and follow-up of suppliers to ensure turnaround within the agreed SLA.
6. Ensure all customer details are correct, customers are arrived, appointments booked, changed, and rescheduled.
7. Process of payments, invoices, added charges and credit notes upon customer departure.
8. Organise self to ensure a quick turnaround of documents, working in date order and prioritising to meet deadlines.
9. Assist in bookings of mammograms and MSK referrals (where delivered at the centre.)
10. Post – collect, open, date stamp, distribute incoming post, and post outgoing post.
11. Generate letters as required by the business.
12. Monitor stocks and order goods when required.
13. Process invoices/delivery notes as per Bupa policy.
Key Skills / Qualifications needed for this role:
14. Administrative experience in a healthcare environment
15. Customer service experience and highly customer focussed
16. PC literate – proficient in MS Office packages
17. Excellent interpersonal, written and verbal communication skills
18. Excellent organisation and time management skills
19. Good attention to details
20. Excellent team working skills and able to work collaboratively
21. Pro-active and a willingness to learn
22. Knowledge of Medical Terminology (desirable)
