If so, this could be the perfect role for you We are seeking a Recruitment Administrator to join our Recruitment Team during a busy period, playing a critical role in supporting our in-house recruiters and Recruitment Manager. About the Role As a Recruitment Administrator, you’ll provide full lifecycle administration support to hiring managers and candidates, ensuring a smooth and positive candidate experience throughout the recruitment process. Recruitment is fast-paced, with daily challenges such as managing shifting schedules, accommodating interruptions for meet-and-greets, handling interview cancellations, and providing feedback to candidates - both positive and constructive. This role requires someone with resilience and the ability to handle the highs and lows of recruitment, maintaining professionalism and enthusiasm while adapting to ever-changing priorities. Key Responsibilities The role is broken down into three key areas: administration, recruitment support, and onboarding. Administration Welcome candidates for interviews, oversee application forms, conduct right-to-work checks, and set up selection tests. Respond to recruitment mailbox enquiries within a 24-hour SLA. Prepare and update the weekly recruitment report. Manage job advertisements and monitor advert usage. Ensure same-day approval of roles within the ATS (SmartRecruiters). Raise purchase orders for recruitment-related expenses. Arrange visitor parking when required. Recruitment Support Assist internal candidates and hiring managers through the recruitment process. Support referral candidates, ensuring they receive a high-quality candidate experience throughout their recruitment journey. Prepare referral candidates for interviews and facilitate debrief discussions. Extend job offers to successful referral candidates and oversee their processing in SmartRecruiters. Deliver personalised feedback to unsuccessful candidates. Onboarding Ensure all necessary interview documentation is saved to enable a smooth employment offer process. Draft and issue accurate, compliant contracts of employment, confirming all role-specific details. Set up new starter profiles in the HR system (Dayforce) and distribute essential documents, providing candidates with easy access to necessary resources. Monitor the screening process, ensuring timely completion of reference requests and background checks, and escalate delays when needed. What We’re Looking For Essential skills Meticulous attention to detail and precision in generating contracts, reports, and documentation. Exceptionally organised, with the ability to prioritise workloads and meet SLAs. Ability to build rapport and strong, positive relationships with candidates and hiring managers. Adaptable, with the capability to handle diverse tasks efficiently. Professionalism in managing sensitive information with discretion and confidentiality. Customer-centric focus, maintaining a commitment to an excellent candidate and hiring manager experience. Clear and professional verbal and written communication skills tailored to diverse audiences. Technical proficiency in MS Office Suite, particularly Outlook, Excel and Word. Desirable skills An understanding of the full recruitment lifecycle, including onboarding practices. Familiarity with recruitment or HR technology (e.g., SmartRecruiters or Dayforce). Awareness of employment laws, regulatory requirements, and principles such as consumer duty.
