GROWING MED-TECH COMPANY: USING TECHNOLOGY TO EMPOWER PEOPLE On behalf of our growing medical-tech Client, we are hiring for a full-time, permanent Executive Assistant to support the owner/Managing Director. This position is predominantly office based in Aylesbury, Buckinghamshire with a flex to work from home occasionally. Salary is £40,000 to £45,000 depending on experience. Acting as a confidante and sounding board, you will work closely with the Managing Director, ensuring their day-to-day operations run seamlessly while contributing to long-term business objectives. This role is both varied and impactful, blending business and personal support, approximately a 70:30 business/personal split. On the business side, you will manage the Managing Directors complex schedule, facilitate key meetings and provide operational and administrative support to keep business priorities on track. Beyond this, your role will be instrumental in decision-making processes, as you assist with maintaining a clear focus on the companys goals and objectives. KEY RESPONSIBILITIES/ROLE REQUIREMENTS: As the Executive Assistant and right hand to the Managing Director, you will play a key role in ensuring the smooth operation of business activities as well as manage and organise personal activity. Your ability to communicate effectively, multitask and maintain impeccable attention to detail will be essential in managing the Managing Directors busy schedule and providing high-level administrative support. Business Requirements: Providing a wide range of support to the Managing Director in order to leverage their effectiveness and make their life easier Manage the Managing Director's calendar, schedule appointments and meetings, and ensure that they are well-prepared for all engagements. Facilitate communications between the Managing Director and his direct reports, and act as point of contact for the wider team as appropriate. Organise and support the Managing Director with developing commercial partnerships in the UK and overseas. Manage communication and correspondence on behalf of the Managing Director, including responding to emails, drafting letters and memos, and handling phone calls. Act as confidante to the Managing Director, exercising the highest levels of confidentiality and discretion. Prepare minutes and action trackers meetings, including Board meetings. Prepare reports and spreadsheets as requested. Maintain and organise files and records for the Managing Director, ensuring that they are easily accessible and up to date including business contracts. Manage and prioritise incoming requests and projects, delegating tasks where appropriate and ensuring that deadlines are met. Assist the Managing Director in preparing for meetings, including drafting, and distributing agendas, presentations, and other relevant documents. Supporting the Managing Director with HR which might include the recruitment of senior staff, handling confidential staff related matters, staff appraisals, grievances, disciplinary investigations, recruitment, drafting reports and correspondence. Light touch Health & Safety. General admin duties including holiday planning for team, processing personal expenses, company credit card expenses, raising purchase orders, maintaining document appropriate filing, and event management.
