The Personnel Coordinator is responsible for general crew management and welfare, with focus on safety, compliance, and high attention to detail.
Key Responsibilities
1. Support communications between seafarers and the team, ensuring that all queries are managed and resolved in a timely manner.
2. Support and participate in regular internal and client audits.
3. Liaise with the Marine Personnel Specialist to ensure effective crew changes in line with client requirements.
4. Manage and coordinate all office visits of our seafarers, including de-briefs and appraisals.
5. Responsibility for coordinating crew induction process for new joiners and offboarding process for leavers.
6. Support the Marine Personnel Specialist and Personnel team with any potential disciplinary matters, review of external manning agents, ensuring KPIs/SLAs are being met and managing regular meetings and updates.
7. Support with the management of COMPAS crew database – ensuring this is accurate, timely, encompassing and support database updates as required.
8. Manage and coordinate payroll matters for seafarers, liaising with colleagues in our other global offices to ensure prompt and accurate payment.
9. Monitor and analyse training plans in line with company matrix requirements, ensuring all crews are competent and up to date with the latest regulations and best practices.
10. Support the delivery and communication to seafarers on Standards for Training, Certificate and Watchkeeping Convention (STCW).
11. Strong knowledge and understanding of ISM, STCW and MLC requirements.
12. You may be asked from time to time be asked to undertake other tasks related to crewing as advised by Line Management
Candidate Requirements
Essential
13. Broad experience in a marine crewing role supporting and managing a large pool of global seafarers.
14. Demonstrable experience managing first line crewing demands including problem resolution.
15. Demonstratable customer service skills – focus on client engagement and delivery
16. Experience with case management, involving our seafarers with working experience coordinating investigation, grievance and disciplinary processes and procedures.
17. Excellent communication and interpersonal skills
18. Ability to manage multiple and changing priorities
19. Strong organisational skills
20. Knowledge of maritime regulations and industry best practice
21. Understanding and knowledge of offshore crewing practice, including demonstrated experience managing casework on board.
22. Understanding and in-depth knowledge of ISM code, MLC and STCW.
23. Awareness and knowledge of crew managing systems including COMPAS
24. Ability to work independently and as part of a team
25. Strong understanding of GDPR and ISO standards relating to crew management
26. Proficient in all MS office packages including outlook, word, excel and PowerPoint
Desirable
27. University Degree, preferably in HR or General Business.
28. Previous experience working within seagoing HR team for a ship management company.
29. Shipping HR related legislation; STCW, MLC
