The Opportunity
As an Executive Assistant, you will provide high-quality, effective and efficient executive support for the Leader, Deputy Leader, and Senior Leadership Team (SLT). This includes diary management, facilitation of meetings, and coordination between various stakeholders.
Please note this is a hybrid working opportunity, with the expectation of being in the office a minimum of 3 days per week, with flexibility to meet business needs.
Accountabilities
* Provide executive support to the Leader, Deputy Leader, and SLT, ensuring their needs are effectively met and managed.
* Manage a complex and busy diary, correspondence, and gatekeeping for the Leader and Deputy Leader.
* Organise high-level internal and external meetings, ensuring suitable venues, room bookings, and travel arrangements are made.
* Prepare accurate arrangements, agendas, and papers for meetings and briefings in a timely manner.
* Keep the Leader, Deputy Leader, and SLT informed about relevant changes and developments.
* Manage correspondence for the Leader and Deputy Leader, including preparing letters/emails and responding to routine inquiries.
* Coordinate and monitor Member Enquiries, MP Enquiries, Freedom of Information Requests, and Corporate Complaints.
* Undertake urgent duties outside normal office hours as requested.
* Act as a point of contact for media inquiries for the Leader, Deputy Leader, Cabinet, and SLT.
The Experience You Will Bring
* Excellent IT skills, including proficiency in Microsoft software.
* Experience in high-level and complex diary management, scheduling meetings, and planning agendas.
* Ability to work independently and as part of a team, identifying high-risk issues requiring escalation.
* Strong written communication skills that are clear, concise, and jargon-free.
* Knowledge of local government context, including council policy and processes.
* Good interpersonal skills with the ability to influence and maintain rapport.
