Job summary
The post holder will provide and receive confidential and complicated information orally, in writing, or electronically within the Freedom to Speak Up Service
There is a requirement to communicate complicated information to other departments and external contacts.
The post holder will be required to develop and maintain effective communication and working relationships within the workplace, the service and the Trust.
The post holder will be expected to use Office 365 as a major communication tool.
The post holder will require a knowledge of a range of secretarial procedures and experience in using Microsoft Office 365, knowledge of software programmes which will be required at NVQ level 3, RSA level 3 or equivalent, plus relevant practical experience.
The post holder would be expected to be proficient in word processing.
The job will involve job prioritisation of own work, and will involve resolving conflicting diary appointments and schedules.
Main duties of the job
The post holder will arrange meetings on a regular basis and organise the diaries of others.
The post holder will manage an effective bring forward system for the FTSU Guardian and Deputy ensuring that all papers for meetings and one to one's are prepared in advance and are available for the required dates.
The post holder will be responsible for organising their own time, managing filing systems and may be required to plan conferences or other similar events.
The post holder must be able to take minutes.
Contact with patients and carers relating to appointments and admissions will be incidental.
The post holder will be required to follow secretarial procedures and to comment on proposals and implement secretarial and administrative policies within their area of work.
The post holder will be responsible for maintaining stationery stock and monitoring the maintenance of office machinery.
Anyone within this post will be required to demonstrate new duties to new starters.
The post holder will be responsible for organising and prioritising own workload and is required to act independently with guidance provided by the Lead and Deputy.
Word processing and data inputting at a VDU screen is a major job function.
The post holder during the course of their duties will be required to use all forms of office equipment, printers, photocopiers, filing systems etc.

The post holder is required to provide a comprehensive secretarial support to the Freedom To Speak Up Guardian and Deputy Freedom To Speak Up Guardian, this will involve liaising with other departments, organising electronic diaries, maintaining records, taking notes at meetings, operating a bring forward system and preparing papers for relevant meetings. The post holder may on occasion liaise with external stakeholders to organise conferences and events.
