Key Details: Position: Executive Assistant (Part-Time) Location: Hybrid. 2 days in the office ideal Hours: Part-time, 20 Hours a week (3 or 4 days), school-hours friendly Role Overview: As our Executive Assistant, you'll be the backbone of our operations, providing comprehensive support to the Managing Director and ensuring smooth day-to-day functioning of our busy recruitment firm. This role offers a perfect blend of administrative, financial, and operational responsibilities. Key Responsibilities: Executive Support: Provide 1:1 support to the Managing Director, including email and diary management Assist with external recruitment processes, liaising with clients and candidates Arrange interviews, create candidate profiles, and format CVs Update client pitches and maintain the CRM system Collate timesheets for temporary workers Finance and Operations Process invoices and payments Oversight of bank accounts and sign off on monthly payroll Ensure accounting accuracy and meet financial deadlines Manage expenses, reconciliations, and profit/loss using Xero and DEXT Maintain supplier relationships and research new vendors Human Resources Onboard and train new starters Maintain GDPR compliance, including updating legal documents Marketing and Events Updating company LinkedIn and Website Write and distribute monthly e-newsletters Events organisation Qualifications: Proven experience as an Executive Assistant Confident Excel user Excellent organisational and time-management skills A confident communicator Strong financial acumen and experience with accounting software (e.g., Xero, DEXT) would be advantageous Proficiency in Microsoft Office Suite, CRM systems, and video conferencing platforms Experience with social media management and email marketing tools Ability to handle confidential information with discretion Self-motivated with a proactive approach to problem-solving Culture and Benefits Our team is made up of highly enthusiastic and talented individuals.
