We are currently seeking an Executive Administrative Assistant to support our company Founder.
Key Responsibilities:
1. Administrative Support: Provide diversified administrative support to the President & CEO and General Counsel, including scheduling, travel arrangements, and meeting coordination.
2. Document Management: Assist with printing, filing, supply orders, business card orders, inventory maintenance, mail distribution, memo composition, research, presentation creation, and document formatting/editing.
3. Personal Assistance: Provide personal assistant support as needed, including travel, community support, and philanthropic activities.
4. Calendar Management: Proactively maintain frequently changing calendars.
5. Project Management: Complete non-routine, complex projects, and assignments, including creating spreadsheets, presentations, databases, and other confidential documents.
6. Communication: Regularly communicate with the President & CEO, General Counsel, and other leadership team members, requiring interpretation, persuasion, and discretion.
7. Confidentiality: Manage daily contact with all levels of management and clients, often dealing with confidential information.
8. Liaison Role: Serve as a liaison to internal and external stakeholders, interacting with senior leaders daily.
9. Correspondence: Prepare confidential and sensitive documentation and correspondence for various stakeholders.
10. Initiative: Consistently follow through on deadlines and projects, taking initiative on all work requests and providing status updates as needed.
11. Proactive Problem-Solving: Anticipate the needs of the President & CEO and General Counsel’s actions to resolve any challenges proactively.
Education and Experience:
1. Minimum of 10 years of experience as an Executive Administrative Assistant.
2. Preferred experience supporting C-Level executives in larger companies (over $100m in revenue).
Knowledge, Skills, and Abilities:
1. Intermediate to advanced skills in desktop applications (e.g., Word, Excel, PowerPoint, Visio).
2. High level of confidentiality.
3. Excellent people, organizational, and time management skills.
4. Ability to organize and prioritize work effectively under deadlines with limited direction.
5. Successful engagement in multiple initiatives simultaneously.
6. Excellent verbal, written, organizational, and interpersonal skills.
7. Commitment to delivering outstanding service to internal and external customers.
8. Strong sense of accountability and ownership in resolving issues.
9. Effective listening, clarifying questions, and agreement checking with the President & CEO and General Counsel.
10. Proven success in a similar role.
11. High energy with the ability to process and prioritize large volumes of information.
12. Ability to manage a high volume of scheduling, meeting/event planning, and travel itineraries.
13. Project management skills for special projects, including planning and coordinating presentations and information dissemination.
14. Handling and routing of confidential and non-routine documents and information.
15. Flexibility to work evenings and weekends, as necessary.
16. Self-starter mentality.
