Outpatients are seeking an enthusiastic Senior receptionist/administration officer to help maintain the efficient administration in their departments at our Sutton Site. This post is vital to the smooth running of the main outpatient clinics. You will work in a busy environment, providing a reception service for patients and relatives.
The role also includes preparing medical records for the consultant's clinics. As a member of a multi-disciplinary team, you should possess excellent interpersonal, verbal communication and organisational skills. The Senior Administration Officer is a member of the Outpatient/RDAC Administrative Team, covering the clinics, preparation and reception areas. They will adopt a professional and caring attitude with a polite and courteous manner in all aspects of communication. A uniform will be worn at all times.
The post holder will support both the Administration Manager and the Deputy Manager whilst providing a supervisory role to the OPD/RDAC Administration Officers.

• To ensure that all patient appointments are booked accurately and to liaise with clinics regarding overbookings to minimise patient waiting times.
• To work within clinics assisting nurses and doctors to ensure the smooth running of the clinic. To ensure all clinic documentation and results are ready for the clinic.
• To re-organise appointments at the request of patients or medical staff and to inform patients where necessary. To book appointments for clinics within the Royal Marsden Foundation Trust and any other outside hospitals when requested.
• To provide a scanning system for all documents of importance at the end of each clinic and to ensure they are accurately recorded.
• Deal with departmental correspondence in an efficient, timely and appropriate manner. To take appropriate messages, recording details accurately.
• To report any IT problems and to request their support in overcoming any difficulties. To report any problems that may occur with any office equipment under the direction of the OPD/RDAC Administration Manager.
• To ensure all documentation is prepared for clinics together with all relevant test results.
