We are looking for someone to join our existing Admissions Booking Team within the Planned Care team at Torbay Hospital on a permanent 37.5 hour per week contract. The hours can be flexible and are to be agreed with the successful candidate.
The Admissions Office is responsible for booking all elective surgery admissions for the following surgical specialties: Colorectal, ENT, Max Fax, Orthopaedics, Pain Management, Plastics, Vascular, Upper GI, Urology and Obstetrics and Gynae.
The ideal candidate will need customer care experience, ideally experience of working with patient records and using a hospital database such as IHCS, Galaxy and using Microsoft applications; however, this is not mandatory. We would expect candidates to have proven relevant experience of working in a similar role.
Main duties of the job
* Input details on waiting lists of patients requiring elective surgery on the PAS system.
* Maintain elective, patient deferred and medically deferred waiting lists including regular validation of all lists.
* Dealing appropriately with patients.
* Liaise with Consultants on waiting list management in order to meet Government targets.
* Arrange pre-assessment clinic appointments, booking on PAS, informing patients, requesting hospital medical notes.
* Comply with the requirements of the Data Protection Act.
* Compile, submit on Galaxy (theatre list system) and distribute theatre lists.
* Identify, resolve and inform others on complex issues where necessary, including forward planning to ensure smooth running of the department.

* Ensure that listing forms, queries and data are received, actioned and recorded in an accurate and timely fashion.
* Be responsible for updating the clinical systems with all confirmed admission dates.
* Manage own workload.
* Attend and contribute to regular team meetings.

Person Specification
Qualifications, Knowledge & Experience
* Good standard of general education to include GCSE in Maths and English (grade C or 5 or above) or equivalent such as Functional Skills at level 1 or 2.
* Experience of administrative/typing duties.
* Ability to work on own initiative and prioritise own workload.
* Proven experience of providing a customer focused service.
* NHS Experience.
* Knowledge of a range of patient computer software packages eg Choose & Book, Galaxy, Infoflex.
