Post Title: Reception Admin Clerk - Ophthalmology
Pay Band: A&C 2
Hours: 28 hrs Part Time
Contract: Permanent
Location: Ophthalmology Unit Level 1 Aconbury West, Worcester Royal Hospital
Accountable to: Directorate Manager
Reports to: Reception Supervisor
Key Working Relationships
Internal: Clinical Team, Reception Supervisor, Outpatient Appointment staff, Outpatient receptionists, Clinicians, Directorate Managers, Directorate Support Officer, Senior management team, medical secretaries, clinic prep, call centre staff, nursing staff, portering and support staff.
External: Patients, GPs, and Opticians.
Job Purpose
The post holder will assist in the day-to-day running of the Ophthalmology Department. Their responsibilities will be varied but will include: reception duties, completion of appointment outcomes, preparation of patient casenote packs for emergency and waiting list initiative clinics, adding patients to appropriate follow-up waiting lists, data validation of follow-up waiting lists, and booking outpatient follow-up appointments in line with clinical instruction.
Key and General Duties
1. Use the Patient Administration System Allscripts PAS.
2. Check and update patient demographics and book patients into an outpatient clinic on arrival.
3. Make follow-up outpatient appointments or discharge patients on departure.
4. Monitor outpatient waiting lists and ensure timely follow-up appointments.
5. Respond to patient telephone or face-to-face complaints.
6. Ensure that nursing staff are aware of arrivals for clinics.
7. Ensure patient casenote packs are available for each patient.
8. Record clinic attendance outcomes accurately on PAS.
9. Handle routine enquiries from patients about their appointments.
10. Inform ambulance control and porters of awaiting transport or transfers.
11. Register new patients correctly on the PAS system.
12. Maintain an up-to-date clinic list for clinical staff.
13. Liaise with clinical staff to provide a quality service.
14. Support the appointments team and nurses with cancelling patients when necessary.
15. Record walk-in emergency patients in PAS.
16. Ensure computer and stationery supplies are available and functioning.
17. Work flexibly within normal clinic hours.
18. Notify the team leader or line manager of any issues affecting the department's smooth running.
19. Train new staff on reception duties.
20. Provide high-quality patient access service and maintain data quality.
21. Ensure all electronic paperwork is processed correctly and timely.
22. Liaise with medical secretaries and administrative staff regarding referrals and bookings.
23. Prioritize and deliver work within required timescales.
24. Adhere to all policies and procedures.
25. Carry out any other duties as requested by team members or management.
