Job Description:
College Chambers is looking to recruit a First Junior Clerk / Experienced Administrator. This role is integral to the success of a set of chambers, both as a legal practice and as a business.
Job Responsibility:
The successful candidate will be joining a hard-working and busy clerking and administration team based in Southampton. This is a senior position based in the Clerks Room and with that the individual will have sole responsibility for deputising for the Senior Clerk in their absence.
Accordingly, this role requires the individual to have significant clerking or administration experience and be able to provide clients and barristers with the highest standard of service without supervision.
The successful candidate must have first-class communication, decision-making and interpersonal skills, possess impeccable attention to detail, be an effective problem-solver, have demonstrable and confident decision-making skills together with exceptional organisational and multi-tasking abilities.
The role requires the candidate to have experience in mentoring and motivating team members to ensure Chambers' high standards are consistently achieved.
Duties of First Junior Clerk:
1. Deputising for the Senior Clerk in their absence.
2. Having overall responsibility for the smooth running of the clerks room in the Senior Clerk's absence.
3. Problem-solving and taking responsibility for facilities and utilities management.
4. Be the first point of contact for professional clients and Members of Chambers in the absence of the Senior Clerk.
5. Ensuring any issues in respect of the diary and papers for the following day are resolved before leaving Chambers.
6. Dealing with last-minute diary clashes or matters over-running.
7. Handling and managing fee disputes in the absence of the Senior Clerk.
8. Dealing with urgent out of hours enquiries during the Senior Clerk's absence.
9. Be responsible for supporting and managing other members of staff in the Senior Clerk's absence.
10. Dealing with and/or taking any necessary urgent action in respect of any complaints or breaches of the General Data Protection Regulations.
11. Taking and professionally handling calls relating to complaints in the absence of the Senior Clerk.
12. Be responsible for contacting the Ethics Department at the BSB on urgent issues when required.
13. Be responsible for taking appropriate steps in relation to Health, Safety and Wellbeing matters in the absence of the Senior Clerk.
14. Taking responsibility as Chambers' Fire Marshall/ Lead First Aider/ Mental Health First Aider in the absence of the Senior Clerk.
Diary and Practice Management:
1. Be responsible for, and manage, both the short- and long-term diaries for all Members of Chambers.
2. Ensuring fair allocation of work, recorded appropriately on Chambers diary software.
3. Discussing with clients the most appropriate barrister to take the case in terms of specialisation, particular abilities, experience and availability.
4. Exceptional attention to detail when entering data on to Chambers' fees and diary software.
Fees Management:
Ensuring barristers' fees are created for the work they do and are collected.
Compliance Matters:
Ensuring compliance with regulatory requirements, including liaising with the Bar Standards Board / Bar Council and Ethics.
Chambers Promotion and Marketing:
Organising and attending industry and Chambers' promotional networking and marketing events.
