About the role / role purpose As a Digital Workplace and Microsoft 365 Specialist, your mission is to enhance how we utilize productivity and digital tools within Portas. You’ll play a crucial role in ensuring smooth operations and providing technical assistance to colleagues. Responsibilities: Technical Support: Work with the Knowledge Management and Comms team to manage technical aspects of intranet sites, Teams, and Viva Engage. This includes tasks related to information architecture, storage, retention, site building, and workflows. Assist colleagues facing technical issues with digital workplace tools (e.g. SharePoint, Teams, OneDrive, etc. Solution Development and Evaluation: Maximise business value of the M365 platform for the global firm and explore new business use cases. Explore and evaluate potential solutions that align with our digital workplace vision. Identify opportunities for process automation and workflow optimization Develop and implement bespoke technical solutions and integrations. Governance and Compliance: Work across different teams to establish best practices for data governance, compliance, and security. Develop an overall governance structure for intranet and SharePoint Training and Communication: Conduct training sessions for users Create user guidance and communication across various media channels (intranet pages, news items, videos, live training, Teams/Viva Engage messaging). Experience At least 1-3 years of relevant experience in a similar technical support or digital workplace role A bachelor’s degree in a related field (e.g., Information Technology, Computer Science, Business Technology) is preferred but not mandatory Proficiency in Microsoft 365 (M365) tools, including Teams, SharePoint, and OneDrive. Understanding of information architecture, workflow automation, and process optimization. Familiarity with data governance and security best practices Strong communication skills, both written and verbal Ability to collaborate effectively with cross-functional teams and external service providers. A proactive approach to identifying and resolving technical issues. Willingness to learn and adapt to new technologies. This role focuses on providing essential operational support, ensuring efficient workflows, and contributing to our digital workplace’s success.
